Tool Crib Operations Lead

The Tool Crib Operations Lead coordinates the daily operation of the Engineering tool crib and serves as the central point for Engineering dispatch, work-order routing, project material coordination, and inventory control. This position provides day-to-day lead direction to assigned staff, receives and prioritizes service requests, supports work-order assignment and follow-up, maintains accurate inventories of tools, parts, supplies, and project materials, and coordinates purchasing and receiving activities. The position works closely with Engineering leadership, technicians, Purchasing, project stakeholders, vendors, and other departments to support timely maintenance response and organized project execution across Morongo Casino Resort & Spa.

Essential Duties and Responsibilities:

• Coordinate the daily operation of the Engineering tool crib, dispatch function, and related administrative support activities.
• Receive Engineering service calls and requests by radio, telephone, email, or the computerized maintenance management system; identify the location, urgency, and type of service needed.
• Prioritize and route emergency, guest-impacting, safety-related, and routine requests in accordance with department procedures; promptly escalate critical conditions to Engineering leadership and affected departments.
• Create, assign, route, update, and follow up on work orders within assigned authority; maintain accurate dispatch logs, technician status, and shift turnover information.
• Coordinate work-order communication between Engineering technicians, supervisors, managers, and requesting departments to confirm assignments, access needs, operating impacts, and completion status.
• Track open work orders, aging requests, parts delays, vendor follow-up, and incomplete work; provide status updates and identify issues that require management attention.
• Maintain an orderly, secure, and accurate inventory of Engineering tools, parts, supplies, personal protective equipment, and project materials; ensure items are properly identified, labeled, stored, and accessible.
• Monitor stock on hand, usage patterns, minimum and maximum quantities, critical spares, and vendor lead times; recommend replenishment levels and inventory adjustments.
• Prepare or submit purchase requests and material orders in accordance with department procedures and approval requirements; obtain quotes and follow up on urgent, backordered, or outstanding orders.
• Receive deliveries and verify items against purchase orders, packing documents, quantities, specifications, project references, and cost information; document discrepancies, shortages, or damage.
• Issue and receive tools, equipment, parts, and supplies; maintain accurate transaction records and promote accountability for department assets.
• Conduct routine cycle counts and scheduled physical inventories; research discrepancies, document findings, and recommend corrective action.
• Coordinate tool repair, replacement, inspection, certification, or calibration tracking when applicable; immediately report missing, damaged, or unsafe equipment.
• Organize and stage tools, parts, and materials for preventive maintenance, corrective work, special events, shutdowns, and department projects.
• Maintain project material logs and order status; coordinate with project leads to confirm specifications, quantities, delivery dates, storage needs, and installation schedules.
• Maintain inventory, purchasing, receiving, work-order, dispatch, and project records using approved software, spreadsheets, and department filing systems.
• Communicate with vendors, Purchasing, Finance, and internal departments to clarify specifications, obtain quotes, confirm availability, resolve delivery issues, and support accurate cost allocation.
• Follow property, department, safety, security, purchasing, and records-management procedures; protect tools, parts, materials, and information from loss, damage, or unauthorized use.
• Perform related duties and support Engineering operations as assigned.

Supervisory Responsibilities:

This is a lead position that provides day-to-day work direction and operational coordination for assigned tool crib, dispatch, or administrative staff. Employees remain under the formal authority of the Engineering Supervisor or Manager. Unless specifically delegated, this position does not independently hire, terminate, discipline, or change employee compensation.

• Coordinate daily staffing coverage, workflow, priorities, and assignments for the tool crib and Engineering dispatch function.
• Provide clear direction on service-call handling, work-order processing, inventory procedures, receiving, recordkeeping, customer service, and safe work practices.
• Monitor the timely and accurate completion of assigned work, review records for completeness, and address routine operational issues within established procedures.
• Train, coach, and support the onboarding and cross-training of assigned team members; reinforce department expectations and procedures.
• Provide leadership with timely information regarding staffing needs, attendance concerns, work quality, inventory discrepancies, safety issues, service delays, and operational risks.
• Assist Engineering leadership with schedules, shift coverage, performance feedback, procedure updates, and process-improvement recommendations.
• Serve as the initial point of coordination for the tool crib and dispatch operation when the Engineering Supervisor or Manager is unavailable, while escalating decisions outside the position's authority.

Qualifications:

• Working knowledge of tool crib, inventory, warehouse, purchasing, receiving, dispatch, or maintenance support operations.
• Knowledge of common facilities-maintenance tools, parts, materials, and supplies used in mechanical, electrical, plumbing, HVAC, carpentry, painting, grounds, and general building operations.
• Ability to receive service requests, assess urgency, organize competing priorities, and communicate accurate assignments and status information in a fast-paced 24-hour operation.
• Ability to use a computerized maintenance management system, inventory or purchasing software, email, word-processing software, and spreadsheets.
• Ability to read and interpret work orders, purchase orders, packing slips, invoices, product specifications, safety data sheets, equipment manuals, and department procedures.
• Strong organizational, recordkeeping, customer-service, communication, and follow-through skills.
• Basic math skills sufficient to verify quantities, unit costs, totals, inventory balances, and order discrepancies.
• Demonstrated leadership, sound judgment, confidentiality, and the ability to provide direction while maintaining professional working relationships.
• Ability to work independently, manage multiple priorities, and respond calmly to urgent operating conditions.

Education and/or Experience:

• High school diploma or equivalent required.
• Three or more years of experience in a tool crib, inventory, warehouse, purchasing, facilities dispatch, maintenance support, or related operation preferred.
• One or more years of lead, coordinating, training, or team-support experience preferred.
• Experience with computerized maintenance management, inventory, work-order, purchasing, or enterprise resource planning systems preferred.
• Experience supporting facilities maintenance, hospitality, casino, resort, healthcare, manufacturing, or another 24-hour operation preferred.
• Equivalent combinations of education, training, and relevant experience may be considered.

Licenses, Certificates, Registrations:

Must have successfully completed a background check and obtained a gaming license issued by the Morongo Gaming Agency, as required.

Language Skills:

Must be able to read and interpret documents in English, such as instructions, guidelines, policies, and procedures. Must also be able to communicate clearly and effectively with team members, management, and guests.
