SERVICE WRITER

Job Title: Service Writer / AdminLocation: Arnold MachinerySigning Bonus: $2,000Position Overview:At Arnold Machinery, we are committed to delivering exceptional customer satisfaction through a team of dedicated machinery support professionals. As a Service Writer / Admin, you will play a key role in upholding our reputation for excellence. You’ll be responsible for coordinating service jobs, ensuring accurate job closures, and helping customers with their machinery needs.Key Responsibilities:Service Documentation & Job Closures: Write up, monitor, and review service jobs, ensuring they are properly closed.Warranty Management: Determine machine warranty status and communicate accurately with customers regarding warranty coverage.Repair Oversight: Ensure repairs are completed within the quoted labor hours.Authorization Management: Follow proper authorization procedures for all service jobs.Customer Interaction: Communicate with customers to assess service needs, prioritize requests, and determine urgency.Field Service Coordination: Schedule and dispatch field service technicians to customer jobs based on priority.Warranty Verification: Advise customers on warranty status before starting service. If warranty status is unclear, notify customers that charges will apply until confirmed.Work Scheduling & Updates: Collaborate with the Service Manager to review daily work schedules, prioritize tasks, and track parts deliveries and job completion deadlines.Timecard Management: Process timecards for technicians and maintain detailed service reports.Non-Essential Job Functions:Invoice Review: Compare final invoices to service proposals to ensure customer satisfaction.Administrative Support: Assist with general administration within the Service Department.Desired Skills & Qualifications:We’re looking for candidates who have:A proactive attitude with a strong work ethic and ambition.Exceptional attention to detail, with the ability to problem-solve independently.Proficiency in Microsoft Excel and Word, with solid mathematical skills.Physical Demands & Working Conditions:This role requires:Ability to sit for extended periods while managing paperwork and answering phones.Frequent walking and mobility, including through uneven terrain.Strong communication skills, both in-person and over the phone or radio.Education & Experience:High School Diploma or equivalent required.
