The Planning Coordinator is a crucial role that works closely with our Inventory Planning and Logistics teams, in conjunction with our vendor community, to facilitate timely merchandise availability. This individual will support multiple categories of business by partnering with their corresponding Planning and Distribution teams and in the future will be part of a small pool of global planning coordinators. The key components are creating and modifying purchase orders, tracking shipments, maintaining order files, communicating with vendors and internal teams to resolve shipping issues, and providing reports and analysis to support decision making.
What You'll Be Doing:
Essential duties and responsibilities include:
- Processing purchase orders for multiple categories of business
- Daily tracking of all shipments from vendor to distribution center and/or direct to ship
- Partnering with vendor community and Starboard's Logistics and Transportation team to ensure timely shipment of orders and to ensure vendors are complying with shipping guidelines
- Working with vendors, Merchandising & Planning teams and Logistics to resolve any issues related to performance and/or inbound flow of goods
- Reporting (run data queries, prepare reporting, and communicate findings and actions)
- Weekly internal dept. meetings
- Monthly to key vendors as identified
- Managing vendor inquiries
- Ensuring cross departmental communication to resolve outstanding issues
Communication and collaboration duties include:
- Identifying and communicating opportunities to maximize order tracking and vendor compliance
- Consistently communicating anticipated purchase order challenges and possible solutions to all stakeholders
- Attending and actively participating in weekly meetings with planning team to discuss strategies and priorities. Presenting all findings, suggestions and business opportunities to the team
- Supporting new vendors by providing packaging, documentation and routing guidelines to ensure proper shipping requirements are followed and potential delays are avoided
- Assisting with other Planning & Distribution team projects and category specific tasks as needed
Interpersonal management duties include:
- Building a reputation as a positive contributor within Starboard in all interrelations and communication.
- Acquiring knowledge from departments within the organization to gain an understanding of Starboard processes and key business partners.
- Leveraging interpersonal relationships to accomplish day-to-day needs
What We're Looking For:
Qualifications include:
- 1-2 years of experience
- High school or equivalent required
Knowledge, skills and abilities include:
- Minimum 1-2 years retail experience in a fast-paced environment preferred
- College degree or equivalent experience
- Strong communication skills, both written and verbal
- MS Office with advanced proficiency with Excel including the use of pivot tables and formulas
- Ability to thrive in a collaborative, team-oriented environment
Decision making duties include:
- Duties and activities reviewed periodically. Supervisor monitors work progress and determines actions on unusual items. Moderate level of problem solving ability.
Position type/expected hours of work: Some flexibility in hours is permitted, employee must be available during the "core" work hours of 8:00 a.m. to 5:00 p.m. Monday Friday and must work 30 hours each week to maintain full-time status. Occasional evening and weekend work may be required as job duties demand.
Physical demands: Office environment with frequent sitting, walking and standing, occasional climbing, stooping, kneeling, crouching and balancing. Frequent use of eye, hand and finger coordination enabling use of office machinery. This position requires the ability to occasionally lift office products and supplies, up to 20 pounds. Oral and auditory enabling interpersonal communication as well as communication automated device such as the telephone.
