About the Role

An administrative coordinator ensures an office runs smoothly by managing a wide range of administrative tasks, including scheduling, communication, reporting, and record-keeping. This role acts as a central point of contact, liaising between departments, clients, and vendors, and requires strong organizational, communication, and multitasking skills.

What You’ll Be Doing

  • Performs New Volunteer Orientation.
  • Assigns credentials and access to new Volunteers.
  • Maintains the headcount report and recruitment reports.
  • Provides coordinator support to the Recruiting team.
  • Maintain files for organization materials; provides information to members at the direction of the Director of Admins and People.
  • Organize, research and maintain office filing systems and document management databases.
  • Serve as primary assistant to Corporate leaders, representing the corporate team in interactions with internal and external parties.
  • Perform a wide variety of administrative duties to support the work of the executive departments and organization including but not limited to helping in the preparation of office budgets and monitoring budget expenditures, reviewing and preparing requests for payment, drafting special requests.
  • May schedule meetings or conference calls for the corporate leaders, reviews and conducting research and assembling and summarizing information from a variety of sources for special projects and reports on behalf of the organization.
  • Other duties as assigned.

What You Bring to the Role

  • 1-3 years coordinator/administrative experience; or college degree (Associates and/or Bachelors)
  • Must have strong office administrative and management practices and procedures;
  • Must have evidence of and a commitment to practice a high level of confidentiality; be flexible and be able to work in a high change,
  • Must have strong, effective written and spoken communication skills along with excellent research and organizational skills;
  • Must be located in the United States of America.
  • Must be in agreement with and committed to upholding R.O.Y Organization’s Motto Statement, and Statement of Values, as well as its stated Mission and Vision;

  • Must be located in the United States of America, preferably in the Chicagoland area.
  • Must have evidence of and a commitment to practice a high level of confidentiality;
  • Must have strong experience in planning, organizing and carrying out the daily activities and administrative functions of a COS office in a sensitive, highly visible and dynamic and organizational environment, requiring management of multiple and rapidly changing priorities;
  • Can have a bachelor’s degree in Org. Leadership and/or 1-2 years’ experience in a relevant field;
  • Must have strong office administrative and management practices and procedures;
  • Must be proficient in Microsoft Office with the ability to learn new software and computer systems as well as advanced use of PowerPoint, spreadsheet, graphics and other business management software
  • Must be flexible and be able to work in a high change, quick paced environment.
  • Should have basic nonprofit finance and accounting, general operations, ordinances, rules, policies and procedures, or willing to learn
  • Must be a team player and be willing to receive and act on the direction, and motivated to take on responsibility to completion
  • Must be able to relate on a cross cultural level as well as display good personal and interpersonal skills in the office
  • Should be self-motivated
  • Should be available for occasional travel
  • Engaging/responsive, and proactive communication
  • Proficient in Google Suite and open to learning new tools.
  • Adaptable, collaborative, and self-motivated
  • Establish and maintain highly professional effective working relationships with senior management, and other appointed officials, including staff, community and business leaders, donors, board members, and others encountered in the course of work
  • Use a high degree of tact, discretion and diplomacy in dealing with sensitive situations and concerned groups and/or individuals
  • Must be in agreement with and committed to upholding R.O.Y Organization’s Motto Statement, and Statement of Values, as well as its stated Mission and Vision;
