The Role JC Davis Ventures is seeking a highly organized and detail-oriented Client Services Administrator to support our outside sales team and ensure a seamless customer onboarding experience. This role is responsible for vendor applications, customer onboarding, accounts payable setup coordination, insurance certificate management, insurance compliance, and customer support activities. The position serves as a critical link between customers, sales, accounting, and insurance providers to ensure customer requirements and requests are met accurately and efficiently. The ideal candidate is proactive, customer-focused, and comfortable managing multiple administrative responsibilities while ensuring timely communication and compliance with client requirements. Key Responsibilities Customer Onboarding & Account Setup Complete and submit vendor applications for prospective and new customers. Coordinate with customers' Accounts Payable departments to ensure all required documentation is received for vendor setup. Send welcome communications to new customers, providing W-9s, ACH payment instructions, onboarding documentation, and key account information to facilitate a smooth account setup process. Track onboarding progress and follow up to ensure successful account activation. Insurance & Compliance Management Coordinate with insurance providers to obtain and distribute Certificates of Insurance (COIs)for all new projects in a timely manner. Coordinate requests for waivers, endorsements, and other insurance documentation as needed. Address insurance-related issues and work with customers to resolve compliance concerns. Sales Team Support Assist with customer account documentation and record maintenance. Add new contacts to Salesforce as they are identified during the onboarding process. Help facilitate communication between customers, sales, and accounting. Support special projects and administrative initiatives as assigned. Customer Service Serve as a professional point of contact for customer inquiries related to onboarding, billing setup, insurance documentation, and account administration. Maintain a high level of responsiveness and professionalism in all customer interactions. Build positive relationships with customers by providing timely and accurate support. Qualifications Required 5+ years of administrative, customer service, client services, account coordination, or related experience. Strong organizational and time-management skills. Exceptional attention to detail and accuracy. Excellent written and verbal communication skills. Proficiency with Microsoft Office Suite, Google Workspace, Salesforce CRM, and Slack. Ability to prioritize multiple tasks and meet deadlines in a fast-paced environment. Preferred Experience working with vendor and customer onboarding processes. Familiarity with Certificates of Insurance (COIs), insurance compliance, or contract administration. Experience supporting outside sales teams. Experience with CRM systems such as Salesforce.
