Medical Receptionist/Insurance Specialist

Job Title: Medical Receptionist/Insurance Specialist Location: Remote - Philippines Schedule: Full-time (Weekends off) EMR: eClinicalWorks (eCW) - Recent experience required Experience Level: Experienced clinical and medical practice support professionals Are you a clinically experienced professional with excellent communication skills, strong insurance knowledge, and a natural ability to turn patient inquiries into scheduled appointments? We are looking for a Medical Receptionist / Insurance Specialist who can confidently manage high-volume phone interactions, verify insurance benefits, follow up with patients, and help drive appointment conversions. This is not a traditional administrative VA role . We need someone who takes ownership of every patient interaction, follows up persistently, and understands how effective communication and insurance knowledge contribute to patient acquisition and practice growth.

WHAT YOU'LL DO

Manage High-Volume Calls: Handle inbound and outbound calls, missed-call callbacks, new-patient inquiries, and follow-ups with prospective patients. Convert Inquiries into Appointments: Engage patients, address concerns, re-engage inactive patients and no-shows, and confidently guide patients toward scheduling. Verify Insurance Benefits: Confirm eligibility, coverage, effective dates, deductibles, copays, coinsurance, out-of-pocket maximums, and patient financial responsibility. Understand Insurance Plans: Differentiate HMO and PPO plans, assess in-network and out-of-network benefits, and identify referral, prior authorization, and coverage limitations. Work with Multiple Payers: Verify benefits through insurance companies such as Aetna, Cigna, Humana, Medicare, and other commercial HMO/PPO plans. Handle Specialized Insurance Cases: Support Workers' Compensation and Personal Injury Protection (PIP) workflows when applicable. Manage Appointments and Calendars: Schedule, confirm, and reschedule appointments while maintaining accurate physician calendars. Maintain Accurate eCW Records: Document every patient interaction, maintain organized follow-up queues, and ensure patient information and communication notes are up to date in eClinicalWorks. Coordinate with Medical Offices: Communicate professionally with physician offices, referral sources, and other healthcare contacts. Support Referral Development: Assist with physician and attorney referral relationships, medical-legal communications, and business development activities when needed.

WHAT WE'RE LOOKING FOR

Non-Negotiable Requirements: Clinical Background: At least 2 years of nursing or clinical experience as an RN, NP, or a professional with a clearly demonstrated comparable clinical background. U.S. Medical Practice Experience: At least 2 years of experience remotely supporting a U.S.-based medical practice, including patient communication, scheduling, insurance verification, EMR documentation, phone workflows, follow-ups, and coordination with physicians and staff. Recent eClinicalWorks Experience: Current or very recent hands-on experience using eClinicalWorks (eCW) is required. Outdated eCW experience will not meet the requirement. Strong Insurance Knowledge: A solid understanding of insurance eligibility, benefits, plan types, patient responsibility, referrals, prior authorizations, and coverage limitations. Simply entering insurance information is not sufficient. Excellent English Communication: Strong verbal communication skills and a clear, confident, professional phone presence. Personality and Energy: Cheerful, upbeat, engaging, and professional, with the ability to build rapport and communicate confidently with patients. Results-Driven Mindset: Comfortable working in a high-volume, production-driven phone environment with a focus on patient follow-up, scheduling, and appointment conversion. Accountability and Follow-Through: Able to manage multiple follow-ups, maintain accurate documentation, and take ownership of opportunities until the next appropriate action is completed.
