Brokerage Coordinator

The Brokerage Coordinator provides dedicated support to brokerage professionals and teams, ensuring seamless delivery of client service activities such as pitches and proposals, transaction support, and administrative coordination. Acting as a key point of contact between fee-earners and internal departments, this role helps drive sales efforts, maintain accurate data and documentation, and support the full lifecycle of brokerage transactions from initial pursuit through deal closing and revenue processing.

Responsibilities include managing and maintaining brokerage databases, supporting the content creation process for marketing materials, coordinating with internal departments based on the needs of fee-earners, monitoring and supporting the timeliness of deliverables, providing comprehensive sales and deal support, coordinating with Marketing, Research, and Financial Analysts for the creation of pitches and proposals, attending strategy sessions with fee-earners, working with Marketing to deliver necessary information for content creation, scheduling internal review meetings, arranging accommodations for client presentations and tours, coordinating with Brokerage Specialists and Marketing for printing, conducting basic data gathering, populating template market documents, compiling information for periodic landlord leasing activity reports, maintaining and managing client contact lists, executing property tour logistics, coordinating the development of flyers and marketing collateral, updating and maintaining the CRM system, researching potential conflicts, coordinating travel and logistics for fee-earners, following up on the execution of deal-related documents, preparing deal-related documents, coordinating with Legal for customized agreements, creating deal sheets, packaging deal sheets with supporting documentation, closing deals in the CRM system, inputting new listings into internal databases, updating existing listings, removing inactive listings, coordinating with fee-earners for third-party listing sites, communicating data requests, maintaining a calendar of due dates, responding to data requests, participating in office facilities services tasks, and performing additional related duties as assigned.

Essential skills include a Bachelor's degree, 24 years of experience in a professional organization, proficiency in Microsoft Office applications, proficiency in Adobe Pro and Adobe Sign, proficiency in Adobe InDesign, strong written and oral communication skills, ability to multitask effectively, ability to take direction from multiple sources, good project management skills, excellent attention to detail, demonstrated aptitude for problem solving, and solid computer skills.

Additional skills and qualifications include experience supporting brokerage or sales professionals, exposure to redlining and reviewing documents, experience with brokerage sales support, ability to build strong working relationships, organizational skills, comfort working with marketing and design teams, flexibility to adapt responsibilities, and ability to remain in a stationary position for extended periods.

This role operates in a professional office environment located in Houston, Texas. The Brokerage Coordinator routinely uses standard office equipment and works extensively with office productivity software and CRM systems. The position involves remaining in a stationary position for a significant portion of the workday, moving about the workplace as needed, operating a computer and other office machinery, and frequently communicating with colleagues and clients to exchange accurate information. The role participates in a rotation of office facilities services tasks, contributing to the smooth functioning of the office. Work is performed in a business-professional setting with expectations of professional attire and demeanor. Physical demands include regular use of hands and arms to operate equipment and handle documents, as well as the ability to sit or stand for extended periods while performing administrative and coordination duties.

This is a Contract position based out of Houston, TX. The pay range for this position is $38.00 - $42.00/hr. Eligibility requirements apply to some benefits and may depend on your job classification and length of employment. Benefits are subject to change and may be subject to specific elections, plan, or program terms.
