About Coeur d'Alene Resort:
Our resort offers luxury accommodations and unforgettable experiences. We are looking for a detail-oriented Reservation Agent & Group Rooms Coordinator to join our front desk team and assist guests in booking their stays with ease and professionalism.

The Role:

The Reservation Sales & Group Rooms Coordinator is responsible for providing exceptional reservation sales and guest service while coordinating group guestroom reservations for conferences, weddings, corporate retreats, and special events.

This position manages both individual and group reservations from initial inquiry through arrival, including determining room and package availability, processing payments, maintaining room blocks, processing rooming lists, coordinating VIP and special requests, and communicating with guests and meeting planners.

The position plays an important role in supporting resort revenue through effective reservation sales, upselling and cross-selling, while also ensuring group room blocks are accurately managed and aligned with contracts, deadlines, inventory, and resort policies.

The ideal candidate is highly organized, detail-oriented, comfortable working in a fast-paced, high-volume environment, and able to navigate multiple computer systems simultaneously. This position requires strong communication skills and the ability to work effectively with guests, meeting planners, Sales, Conference Services, Events, Front Office, Housekeeping, and other resort departments.

Key Responsibilities:

· Handle inbound and outbound reservation calls, online reservations, inquiries, and follow-ups.

· Sell and promote rooms, packages, activities, and resort experiences through upselling and cross-selling.

· Provide accurate information regarding rates, availability, policies, amenities, and resort offerings.

· Enter and maintain accurate individual and group reservations in Opera Cloud, Revinate, Delphi, and other applicable systems.

· Manage group room blocks, rooming lists, pickup, deadlines, billing instructions, and special requests from booking through arrival.

· Communicate with guests, meeting planners, Sales, Conference Services, Events, Front Office, Housekeeping, and other departments to ensure successful group arrivals.

· Monitor group pickup, inventory, occupancy, and availability; assist with forecasting and reporting.

· Process payments, deposits, guarantees, and reservation confirmations accurately.

· Create and manage group booking links and communicate reservation procedures and deadlines.

· Maintain accurate documentation and ensure compliance with resort and departmental policies.

· Manage multiple priorities and deadlines while maintaining a high level of organization and attention to detail.

· Provide professional, courteous service and maintain a positive, "can do" attitude at all times.

· Perform general correspondence, reporting, filing, and other duties as assigned.

What We're Looking For:

· Previous experience in hotel reservations, front desk, sales coordination, group housing, or a related hospitality position preferred.

· Strong organizational and time-management skills.

· Excellent verbal and written communication skills.

· Professional and confident telephone communication.

· Strong attention to detail and accuracy in data entry.

· Ability to manage multiple groups, reservations, deadlines, and priorities simultaneously.

· Ability to multitask while navigating several computer programs and screens at once.

· Experience with hotel Property Management Systems such as Opera Cloud and group sales/housing systems such as Delphi preferred.

· Strong computer skills; experience with Word and Excel preferred.

· Typing speed of 40+ words per minute preferred.

· Excellent reading, spelling, memorization, reasoning, and problem-solving skills.

· Ability to learn and retain a large amount of information related to rates, policies, packages, room types, and resort offerings.

· Ability to sit for extended periods and remain focused while handling continuous calls and computer-based work.

· Ability to work independently with minimal supervision while also functioning effectively as part of a team.

· Must have weekend and evening availability (till 9pm)
