Executive Administrative Assistant Needed Immediately

The Executive Assistant to the President provides dedicated administrative and operational support to the President of Ursa Major. This role is responsible for managing the President's calendar, travel, communications, and day-to-day administrative needs, ensuring efficient coordination of Presidential activities and priorities. The Executive Assistant works closely with Executive Operations and other administrative support functions to ensure seamless coordination across the organization. Serve as the primary point of contact for the President's calendar, coordinating internal and external meetings, managing scheduling conflicts, and ensuring executive time is aligned with business needs. Manage all aspects of the President's domestic and international travel, including bookings, itinerary development, ground transportation, and schedule adjustments. Provide comprehensive administrative support to the President, including assisting with correspondence, communications, document and presentation preparation, meeting materials, and other executive support activities. Proactively anticipate administrative and scheduling needs, exercising sound judgment in managing requests, resolving conflicts, and escalating matters appropriately. Work collaboratively with the Executive Team Scheduler and Executive Operations Manager to coordinate shared executive meetings, schedules, and company-wide leadership activities. Partner with the Office Coordinator to ensure meetings and events are supported with appropriate facilities, catering, visitor coordination, and other on-site logistics. Bachelor's degree or equivalent combination of education and relevant work experience. 3+ years of executive administrative support experience, including experience supporting C-suite or senior executive leaders. Experience coordinating domestic and international executive travel, including bookings, itineraries, and related logistics. Sound judgment, discretion, and the ability to handle confidential and sensitive information appropriately. Proficiency with Microsoft 365, including Outlook, Word, Excel, PowerPoint, and Teams, as well as Adobe Acrobat. Experience using travel management platforms, including Navan. Experience supporting senior executive meetings, customer engagements, and leadership events.
