Sales & Marketing Executive Assistant

About the Job About the Job: We're seeking a sharp, energetic Executive Assistant / Operations Support Specialist to help keep our fast-paced, project-driven environment running smoothly. You'll be the right hand to a dynamic and hands-on Manager of New Business Development - someone who's constantly on the move, balancing client relations, sales growth, and new opportunities. This is not a sit-still, clock-in position - it's a role for someone who thrives in a fast-moving environment, loves problem-solving, and enjoys being part of something growing and exciting. Executive Support:
- Act as a proactive extension of the executive in daily operations.
- Manage schedules, meetings, travel itineraries, and follow-ups.
- Track business and personal to-do lists, ensuring nothing falls through the cracks.
- Communicate professionally with clients, partners, and vendors via phone, email, and text.
- Serve as a key point of contact when the executive is in the field or traveling.
- Support customer service needs and help maintain strong client relationships.
- Assist with implementing social media strategies and posting schedules.
- Help craft brand-appropriate messages and creative marketing ideas.
- Support promotional campaigns, photoshoots, and small event coordination.
- Prepare documents, proposals, presentations, and correspondence.
- Organize and manage digital files, project photos, and receipts.
- Take initiative to streamline systems and anticipate needs before they arise.
- Enter new projects into internal systems and track all related details.
- Follow up with field teams, vendors, and clients to ensure timelines and deliverables stay on track.
- Maintain visibility on open tasks and ensure deadlines are met.
