Administrative Assistant

Collins Aerospace is seeking a highly skilled and experienced Administrative Assistant to provide comprehensive, proactive support to Senior Leaders within Avionics Engineering. The ideal candidate is a self-starter who operates independently, anticipates needs, and applies strong judgment to manage a wide range of administrative responsibilities. This individual must combine exceptional organizational capabilities with a customer-focused mindset and a demonstrated ability to navigate complex, fast-moving environments.

In this role, you will serve as a critical partner to the Engineering and Technology organization. By ensuring that daily operations run efficiently and effectively, you will help the leadership team maintain focus on strategic priorities, improve organizational responsiveness, and streamline decision-making. Your contributions will directly support the function's ability to move quickly, adapt, and deliver high-quality outcomes.

This position requires daily onsite presence at our Cedar Rapids, Iowa location.

What You Will Do

• Perform complex administrative activities in close relationship to the day-to-day work of senior leadership. This will require prioritizing and managing multiple tasks, often with short lead-time.
• Work in a confidential and highly responsive relationship with leadership.
• Perform complex calendar management, including schedule/coordinate appointments/meetings and follow up on delegated items including the coordination of web meetings, conference rooms and making priority decisions to resolve schedule conflicts.
• Make extensive and sometimes complex travel arrangements, including coordinating with other offices, customers and locations.
• Prepare detailed, timely and accurate expense reports, following established policies and procedures.
• Monitor email communication, highlighting urgent matters requiring attention.
• Organize and arrange events and site visits; ensure quality, assign and direct building management and office staff (catering, events, security, tech/AV, cleaning etc).
• Secure meeting space / conference rooms and supplies for visits and meetings, as needed.
• Serve as main point of contact for visits / external meetings. Ensure attendee list/visitor authorization forms are submitted to security.
• Interface between Collins management, building management, IT and office staff on issues related to physical office space as needed.
• Work efficiently in a fast-paced work environment, requiring individual initiative, flexibility and the ability to handle a variety of tasks quickly and effectively.
• Interact with other administrative assistants collaboratively to share knowledge and schedule activities with senior leadership across the business, including resolving schedule conflicts as executive calendars change.
• Travel may be required, on a limited basis, for meeting and event support.
• Other administrative tasks and/or special projects, as delegated and requested.

Qualifications You Must Have

• Typically requires an AA/AS degree (or other 2-year post high school training) with a minimum of 6 years of relevant experience
• Verbal and written communication skills.
• Microsoft Office Suite skills

Qualifications We Prefer

• Previous administrative experience supporting multiple senior leaders.
• Experience with Concur, Ariba, SharePoint, SAP, or other administrative tools and platforms.
• Background in customer service and the ability to remain calm under pressure.
• Professional demeanor/presence, ability to work on sensitive and confidential matters effectively.
• Event planning experience.
