Job Summary Under the direction of the Expanded Learning Program Coordinator, the ELOP Office Clerk supports the day-to-day operations of the ELOP program by performing clerical, communication, and record-keeping duties. This role plays a critical part in maintaining efficient administrative processes, ensuring data accuracy, and facilitating strong communication between families, program staff, and school leadership. The ELOP Clerk works under the direction of the ELOP Coordinator and serves as a consistent, welcoming presence for the ELOP team and families. What You Will Do Administrative & Clerical Support Provide clerical and reception services for the ELOP program, including answering phones, greeting visitors, and directing inquiries. Collect, review, and file ELOP program applications, student rosters, and attendance records. Support preparation of program materials, including flyers, bulletins, and parent communications. Maintain accurate and organized program records including student enrollment, attendance logs, and sign-in/out sheets. Assist in tracking student performance documentation and staff activity logs. Communication & Customer Service Serve as a liaison between families and ELOP staff by responding to parent inquiries and ensuring clear communication regarding pick-up, schedule, and program policies. Notify site administrators and program leaders of any urgent concerns or student issues. Coordinate scheduling of parent meetings, ELOP trainings, and other events. Maintain and update calendars, announcements, and staff communications for ELOP activities. Operational Support Assist with the preparation and submission of purchase orders and expense records aligned with ELOP program operations. Monitor supply inventories for ELOP activities and support ordering of materials as directed. Provide logistical and clerical support for before-school, after-school, intersession, and summer sessions. Support the Director of Operations and ELOP Coordinator with additional clerical duties, data entry, and compliance documentation as needed. Office and school environment; may include indoor and outdoor supervision. Regular interaction with children, parents, staff, and the public. Occasional lifting and physical activity (up to 20 lbs). Qualifications High School Diploma, GED or equivalent (required) Ability to read/write/speak in Spanish. Must have a courteous and positive attitude. Maintain strong verbal/written communication amongst staff and customers Working Conditions / Physical Requirements Work is primarily performed in a standard office and school environment. Requires prolonged periods of sitting, with intermittent standing and walking throughout the workday. Frequently uses a computer, keyboard, telephone, and other standard office equipment. Requires sufficient manual dexterity to operate office equipment, enter data, and handle documents. Requires the ability to reach, bend, stoop, kneel, and twist occasionally to retrieve or file records, office supplies, and materials. Requires the ability to lift, carry, push, and pull office equipment, files, boxes, and supplies weighing up to 25 pounds on an occasional basis. Requires visual acuity to read printed materials and computer screens and the ability to communicate effectively in person and by telephone. May occasionally move throughout the campus to deliver materials, assist staff, or attend meetings.
