Job Description
General Nature of Work

The purpose of this classification is to provide clerical support to the Municipal Court.


JOB RESPONSIBILITIES

The following duties are normal for this position.The omission of specific statements of the duties does not exclude them from the classification if the work is similar, related, or a logical assignment for this classification.Other duties may be required and assigned.

• Perform customer service functions bytelephone, by mail, and in person; provide information/assistanceregarding court/department activities, services, procedures,documentation, fees, case status/disposition, or other issues; distributeforms and documentation; respond to routine questions or complaints;research problems/complaints and initiate problem resolution.
• Receive moneys in payment of citations,fees, fines, or other fees/services; calculate appropriate fees; recordtransactions and issues receipts; enter payments and disposition intocomputer; maintain and balance cash drawer; prepare bank deposits andforwards as appropriate.
• Enter citations, tickets and otherinformation into department databases; update database information; createnew spreadsheets/files; purge old data as appropriate; make copies anddistribute to appropriate parties; maintain copies in department manual files.
• Maintain departmental file system: compiledocumentation; prepare and sets up files, sort/organize documents, andfile documents in designated order; retrieve/replace files; shred/destroyconfidential or obsolete documents; conduct records maintenance activitiesin compliance with guidelines governing record retention.
• Perform general/clerical tasks, which mayinclude making copies, send/receive faxes, distribute documentation,sort/distribute incoming mail, open/process mail, or process outgoingmail.
• Communicate with supervisor, City employees,the public, law enforcement, attorneys, outside agencies, and otherindividuals as needed to coordinate work activities, review status ofwork, exchange information, resolve problems, or give/receive advice/direction.
• Prepare, type, proofread, and/or completevarious forms, payment and receipt reports, charts, graphs, spreadsheets,or other documents.
• Receive various forms, reports,correspondence, logs, citations, driver's histories, bond information,incident reports, payment reports, policies, procedures, manuals,handbooks, directories, reference materials, or other documentation;review, complete, proofread, process, forward, or retain asappropriate.
• Operate a personal computer, general officeequipment, or other equipment as necessary to complete essentialfunctions, to include the use of word processing, spreadsheet, database,or other system software.
• Perform basic maintenance of computer systemand general office equipment, such as backing up data or replacing paper,ink, or toner; coordinate service/repair activities as needed.
• Monitor inventory of department equipmentand supplies; ensure availability of adequate materials to conduct workactivities; initiate orders for new/replacement materials.
• Maintain front of house operations and actas a liaison between the clerk's office and the courtroom during courthours.
• Perform other related duties as assigned.

• Ability to make discretions in determiningdata classification, and in referencing such analysis to establishedstandards for the purpose of recognizing actual or probable interactiveeffects and relationships.
• Requires the ability to apply principles ofpersuasion and/or influence over others in coordinating activities of aproject, program, or designated area of responsibility.
• Requires the ability to operate, maneuverand/or control the actions of equipment, machinery, tools, and/ormaterials used in performing essential functions.
• Requires the ability to utilize a widevariety of reference, descriptive, and/or advisory data andinformation.
• Requires the ability to perform addition,subtraction, multiplication, and division; the ability to calculatedecimals and percentages; the ability to utilize principles of fractions;and the ability to interpret graphs.
• Requires the ability to carry outinstructions furnished in written, oral, or diagrammatic form.Involves semi-routine standardized work with some latitude for independentjudgment concerning choices of action.

Requires the ability to exercise judgment, decisiveness and creativity in situations involving a variety of generally pre-defined duties which are often characterized by frequent change.


Requirements

MINIMUM QUALIFICATIONS

High School diploma or GED; supplemented by some experience in clerical or customer service; or any equivalent combination of education, training, and a minimum of years (2) years experience which provides the requisite knowledge, skills, and abilities for this job.

Physical Requirements: This position classifies the physical exertion requirements as sedentary work involving lifting no more than 10 pounds at a time and occasionally lifting or carrying articles like docket files, ledgers, and small tools. Although a sedentary job is defined as one which involves sitting, a certain amount of walking and standing is often necessary in carrying out job duties. Jobs are sedentary if walking and standing are required occasionally, and other sedentary criteria are met.


Environmental Factors : Essential functions are regularly performed without exposure to adverse environmental conditions.
