Senior Staff Assistant, Interpretive Content Our Mission The J. Paul Getty Museum seeks to inspire curiosity about, and enjoyment and understanding of, the visual arts by collecting, conserving, exhibiting, and interpreting works of art of outstanding quality and historical importance. The Museum operates two facilities: the Getty Villa in Malibu, and the Getty Center in Brentwood. It mounts approximately 25 temporary exhibitions a year and offers wide-ranging programming for visitors. The Opportunity The Getty Museum seeks a Senior Staff Assistant in the Interpretive Content Department. Reporting to the Head of Interpretive Content, this role provides highly organized, responsible, and flexible administrative support. Duties include scheduling meetings, events, and travel; composing and tracking documents; coordinating with contractors; processing payments for consultants; supporting data analysis; purchasing supplies; accounting, budget tracking and forecasting; expense reporting; data entry; filing, mailing, and other clerical tasks. The position is largely independent, with onsite work for the first three months before telework is re‑evaluated. Major Job Responsibilities Oversee day-to‑day office operations. Implement changes or enhancements to procedures to improve productivity and efficiency in accordance with Getty policies. Understands the departmental goals and priorities to aid in efficient management and long‑term work. Assist in the preparation of budget materials, track and monitor expenditures, and report on variances. Purchase routine and specialty supplies, coordinate with vendors, and track fulfillment and consultant agreements. Maintain accurate records, including invoices and contracts. Make travel arrangements for supervisor and department as needed; prepare and submit travel authorizations per Getty Business and Expense policy. Prepare expense reports in accordance with Getty Business and Expense policy. Coordinate exhibition production‑related services with vendors and freelancers, assist in administration of contracts and track payments; interact with Procurement and Finance Departments to resolve issues. Respond to inquiries and requests for information requiring knowledge of department/program activities, policies and procedures. Serve as internal resource to department staff on Getty policies and procedures; stay up to date on organizational policies and procedures. Perform administrative duties associated with scheduling and coordinating meetings, convenings, and planning events; oversee production and distribution of related materials; may attend functions to ensure satisfactory outcome. Assist in maintaining the supervisor and department team calendar. Qualifications High school diploma/GED; Bachelor’s degree preferred. Minimum 3‑4 years of related experience. Knowledge, Skills and Abilities Ability to adapt to new challenges and changing priorities. Proficient computer skills and demonstrated experience with office software and email applications, including Microsoft Office Word, Excel, PowerPoint, Zoom, Outlook, OneDrive and SharePoint, Google Suite, PeopleSoft, Oracle Cloud Fusion, and Adobe Acrobat. Demonstrated ability to follow through and complete assigned tasks. Strong verbal and written communication skills to foster collaboration. Excellent interpersonal skills.
