Job Summary:

As a Commercial Lending Administrator, responsible for supporting Commercial/Ag Lenders in the day-to-day management of their portfolio. This may include shadowing the lender to maintain and develop relationships with corporate clients in their portfolio to achieve and deliver consistent service to the clients. Including the collection and tracking of all the Bank's borrowers/guarantors required financial information to support new and ongoing extensions of credit. Accountable for performing an in-depth analysis of this data, as well as an assessment of current or changing borrower/guarantor risks. Through a defined internal process, reviews on an ongoing basis each assigned credit files underwriting documentation for compliance to the Bank's Loan Policy and regulations and ensures the Bank's collateral position is properly denoted. This position supports senior lenders with proper loan structuring and underwriting documentation; Loan Committee approvals (write-ups) and annual reviews of existing credits; preparation of formal commitment letters; ordering of title work and initial review; appraisal engagements, environmental assessment, initiates flood order, and review of all commercial and agricultural appraisals; and other ongoing support to efficiently underwrite and enhance the Bank's credit risk monitoring and processing of commercial and agricultural credits. To have a working understanding of the Bank's core loan system, and a strong knowledge of credit supporting systems, such as the Bank's spread and tickler tracking software, flood certification website, Credit Bureau provider, WDFIs UCC name/lien searches, etc. Perform other tasks as assigned by supervisor and/or senior management, regardless of job title or routine job duties.

Duties/Responsibilities:

  • Collect and analyze information that reflects the current credit worthiness of existing and new loan customers. On an ongoing basis primary employee to monitor the merits of existing credit extensions. To aid in this process information may be obtained from, but is not limited to, direct inspection of the borrower's collateral, gathering new/updated financial data, computer searches for relevant information, completing computerized spread, review of trends and/or personal interview with lender, etc. Ensure UCC name & lien searches, Credit Bureau(s), and child lien support search(s) are up to date every time a new extension of credit is made, and at least bi-annually when doing existing portfolio credit reviews.
  • Reviews on an ongoing basis credit files for completeness, regulation compliance, and proper perfection of the Bank's collateral position. All credit underwriting is to comply with the Bank's Loan Policy in regard to collateral advancement, credit quality, lender's authorized lending limit, and file documentation required. All exceptions should be noted in the credit file and reported to the Vice President Credit Administration.
  • Supports and assists lenders in proper loan structuring, underwriting, and respective Loan Committee approvals (write-ups). Upon approval of a new credit and direction by a lender, Credit Analyst may prepare a formal commitment letter. (Bank requires a second review of all commitment letters before mailing.)
  • Responsible for preparing and sending out letter requests for required customers' financial data, and ensures current data is imaged into the Bank's imaging system, and old data is removed, per the Bank's record retention policy. This duty is ongoing and requires timely follow-up on all financial data required by the Bank (taxes, financial statements, interim statements, CPA prepared statements, guarantor financials, Debtor's Certificates, etc.). To inform customer's assigned lender when information is received, and to update the Bank's tickler tracking software for next due date request.

For commercial and agricultural real estate transactions, upon approval of the loan request, primary employee responsible for the following support areas:

  1. order title work, and upon receipt review. Work with Loan Operations Manager and/or respective loan processor to clear any title concerns in a timely fashion.
  2. prepare the formal engagement letter to order an appraisal based on the proper rotation of the Bank's approved appraisers. Complete documented formal review of the appraisal upon receipt, validate it is acceptable for the Bank's use, and supports the appropriate advance rate for the new/existing credit extension. If a construction project, set-up a follow-up tickler to request a completion certification (re-validation of value) from appraiser when project is completed.
  3. validate collateral insurance endorsements, exclusions, and that coverages areadequate. Ensure ongoing tracking tickler is set up via the Loan Clerk.
  4. based on the Bank's Loan Policy ensure environmental risks for a commercial or agricultural property is addressed, which may include yet is not limited to, an EDR Report, on-site inspection with completion of an environmental review form, Transaction Screen, and/or Phase I to assess the property's risks in this area. If concerns, turn further investigation over to manager.
  5. order the initial flood certificate; and if property is located in a flood plain, coordinate with Loan Operations Manager and/or a Loan Processor to properly send out notifications and follow-up as needed.
  6. perform any other due diligence needed to ensure proper documentation of underwriting and pursuit of the Bank's real estate lien; and
  7. back-up to Consumer and Residential Underwriter for family residential properties and above related support.
  • Responsible for continual monitoring of covenants, tracking compliance, submission of required reports, along with any follow-up work required for loans with a government guarantee, or special Bank loan agreement covenants to include, but not limited to, Debtor's Certificates, interim financial information, government reporting (WHEDA, FHA, SBA, USDA, etc.), special insurance requirements, loan agreement covenants, and special collateral assignment tracking. Keep the manager informed of credits in non- compliance and/or areas of rising concern to provide additional direction to ensure risk is being properly accounted for.
  • All work completed for the Bank both in the credit area, and other areas of the Bank, will follow established policies and operating procedures, which are consistent with the Bank's overall policies and operating objectives.
  • Accountable for securing follow-up on Bank's loans with special loan covenants, such as, but not limited to, annual tenant rolls, monthly/quarterly interim financials, floor planning tracking, and utilizes Bank's tickler tracking software. In addition, ensures that all government loan guarantee requirements are adhered to, and required reporting is completed in a timely fashion.
  • General administrative work is a part of this position and includes letter coordination; routine filing of loan documents; correspondence; follow-up phone calls on missing support documents; and other duties as needed.
  • When appropriate and opportunity arises, sell Bank products and services by clarifying customer's needs, validating services being delivered, presenting features and benefits, and closing by asking for the business.
  • Treat all customer inquiries, questions, and complaints with respect and follow through. Maintain the Bank's goal to be accessible to the customer and always provide premium service.
  • Prepare own routine correspondence by use of computer network system and software programs available.
  • All work completed for the Bank, both in the credit administration area and other areas of the Bank, will follow established policies and operating procedures which are consistent with the Bank's overall policies and operating objectives.
  • Continue to develop and enhance individual banking skills through in-house training, online training, trade association seminars/classes, and/or reading industry periodicals.
  • Cross train for back-up and keep supervisor informed of own needs for training.
  • Be a team player. Maintain a positive work atmosphere by acting and communicating in a manner so that you get along with customers, co-workers, and managers.
  • Maintain a high level of ethical behavior within the banking profession.
  • Prepares necessary disclosures and documents in accordance with the regulatory requirements, including content and timing.
  • Helps promote a culture of regulatory compliance and safe and sound financial practices.
  • Knows and strictly follows all security, compliance, regulatory, internal control procedures, policies, and laws.
  • Be aware of and support the Bank's efforts in meeting the Community Reinvestment Act (CRA).
  • Undertakes special projects and duties as assigned.

  • 10-key calculator, keyboarding, knowledge of personal computer and wide array of software applications, strong working knowledge of LAN, cheerful demeanor, and in general cross selling abilities.

Education and Experience:

Relevant Bachelor's Degree (BA) from a four year college or university preferred. 5 years or more of related experience and/or training.
