What You Bring

• Experience in a dental practice or med‑spa environment preferred (2-3+ years strongly preferred)
• Experience working in a fee‑for‑service (FFS) setting
• Knowledge of or exposure to sedation dentistry and caring for anxious or high‑acuity patients
• A strong hospitality mindset with concierge‑level service standards
• Excellent communication and interpersonal skills
• Understanding of practice operations, patient flow, and scheduling logistics
• Familiarity with practice management systems
• A calm, organized, and solutions‑oriented approach to patient care

What You Will Be Doing

• Deliver a warm, seamless, white‑glove experience from arrival through departure
• Coordinate scheduling for complex and sedation‑based procedures
• Guide patients through forms, treatment plans, and financial arrangements with discretion and care
• Prepare daily schedules and patient records for clinical teams
• Maintain accurate documentation and follow‑up communication
• Support patients before, during, and after sedation appointments to ensure comfort and confidence
• Manage front‑office and administrative responsibilities to maintain an elevated practice environment
• Prepare and present treatment plan and financial estimates to patients for all prescribed treatment.
• Schedule patient treatment appointments: reschedule patients that miss their appointment and call patients that have not completed treatment.
• Partner with the rest of the team to ensure providers’ schedules are optimized.
• Work with clinical team to effectively manage daily patient flow, providing communication and information to the appropriate individuals.
• Assist patient with financial arrangements.
• Complete estimates on patient portion of treatment.
• Utilize outside financial partners like CareCredit.
• Handle all treatment paperwork including consent forms.
• Effectively communicate and develop a strong working relationship with the Doctor and promote teamwork through cooperative and professional behaviors.
• Assist at the front desk as needed.
• Adhere to confidentiality, state, federal, and HIPAA laws and guidelines with regards to patient’s records.
• Other duties may be assigned.
