ABOUT THE ROLE

The Court Reporter Recruiting & Engagement Manager finds, recruits, and onboards licensed, certified stenographic and voice writer court reporters so every scheduled assignment is covered. The national reporter shortage is ongoing, which makes this role central to our growth and client service. You will build a strong bench of freelance reporters and keep them engaged so they choose to work with us. You will also be the face of Express Deposition in the court reporting community. That means planning and budgeting our presence at association conferences and industry events, and partnering with Marketing so our message reaches reporters. You will work closely with Scheduling and Billing to make sure each reporter is the right fit.

KEY RESPONSIBILITIES

Sourcing and Outreach Source stenographic and voice writer reporters through state and national associations (NCRA, state CSR boards), job boards, LinkedIn, and referrals. Build and maintain a pipeline of qualified reporters across our service areas, including remote and out-of-area coverage. Use industry events, conventions, and association activities as active sourcing channels for new reporters. Court Reporting Events and Conferences Plan and coordinate the agency’s presence at court reporting conferences and association events, including NCRA, CCRA, TCRA, NVCRA, and other state associations. This covers registrations, sponsorships, booths, and travel. Host and organize reporter-focused events such as happy hours, appreciation events, and networking gatherings. Represent Express Deposition at events and build relationships with reporters, students, schools, and association leaders. Support our relationship with the College of Court Reporting and other training programs to connect with new reporters. Budgeting Build and manage the annual reporter recruiting and events budget, including association dues, sponsorships, conference fees, travel, swag, and event costs. Track spending against budget and report ROI on events and recruiting channels, such as reporters recruited and jobs covered. Recommend which events and sponsorships to prioritize each year based on results. Marketing Partner with Marketing on reporter-facing campaigns, including social media, email outreach, job postings, and recruiting materials. Help create content that tells our story to reporters: integrity of the record, licensed and certified reporters only, and reporters come first. Coordinate event promotion, booth materials, and branded giveaways. Gather reporter feedback and market insights to sharpen our recruiting message. Screening and Qualification Verify certifications and licenses (CSR, RPR, RMR, CRR, RDR) and confirm good standing with licensing boards. Review sample transcripts for accuracy, formatting, and turnaround standards. Assess software and equipment (e.g., Case CATalyst, Eclipse), realtime capability, and remote deposition readiness. Conduct interviews and document findings in the reporter file. Onboarding Manage independent contractor paperwork, including the W-9, contractor agreement, direct deposit form, and reporter questionnaire. Explain agency rates, page rates, appearance fees, invoicing, and transcript turnaround and delivery procedures. Coordinate training on agency formats, the scheduling system, and remote platforms (e.g., Zoom). Pair new reporters with an experienced contact to support them through their first assignments. Relationship Management and Retention Serve as the main point of contact for reporters’ questions, concerns, and feedback. Handle rate discussions and special arrangements professionally, and document agreements in the agency system. Communicate respectfully and clearly to keep the agency’s reputation with reporters strong. Hold regular check‑ins and stay interviews, and elevate service or conduct concerns to management. Recognize top performers and help resolve disputes about assignments or invoices. Records and Reporting Keep reporter records current in the agency database, including certifications, renewal dates, specialties, and rates. Track recruiting metrics and report monthly to the Director of Operations. Monitor coverage gaps and market rates, and recommend recruiting priorities.

QUALIFICATIONS

Required 2+ years of experience in recruiting, staffing, or vendor relations. Working knowledge of the court reporting or legal support industry, including deposition workflow, original and copy (O&1) orders, and transcript turnaround. Excellent written and verbal communication with a warm, professional, and respectful tone. Strong organization and follow-through while managing many candidates at once. Comfort with scheduling databases, Microsoft Office or Google Workspace, and LinkedIn. Discretion with confidential rate, contractor, and personnel information. Preferred Experience at a court reporting agency, or as a reporter or scheduler. Familiarity with state CSR licensing requirements and NCRA certifications. An existing network of reporters and industry contacts, preferably in California, Texas, Nevada, or Arizona. Understanding of independent contractor classification rules. Experience planning events or conferences, or managing a budget. Experience supporting marketing campaigns or social media outreach.

COMPENSATION AND HOURS

Pay: $75,000.00 – $95,000.00 per year (exempt) Benefits: Medical, dental, and vision insurance; paid time off and holidays Work Environment: Remote, with standard business hours of 8 a.m.–5 p.m. PT and occasional evening or weekend events.
