Department: Department of Student Housing Job Summary: This position will provide administrative and operational supportfor Student Housing by coordinating staff hiring and studentemployment processes, supporting payroll and time-entry systems,managing office supply inventory, administering studentscholarships, assisting with year-end damage billing, andoverseeing departmental contracts and Requests for Proposals(RFPs). This position will also serve as a liaison with campuspartners, vendors and contractors to ensure efficient businessoperations, compliance with university procedures and effectivesupport of departmental initiatives. In addition, this positionwill provide backup as needed for procurement processes. Job Description: Coordinate full-time and student employee hiring processes forall Student Housing areas Assists with onboarding students including scholarshipprocessing Provide training and support for departmental time-entry systemand payroll systems. Manage office supply inventory and related purchasingneeds Assist with year-end damage billing process Assist areas with contracts and Requests for Proposals (RFPs),including drafting, editing, routing and coordinatingapprovals. Monitor contract spending, compliance, and expiration dates;advise department on renewals and terminations. Assist with procurement activities, competitive bidding, andpurchasing procedures. Prepare and submit bids, RFPs, contracts, and requireddocumentation to university and state entities, including IHL andITS. Assist with administrative tasks such as coordinating meetings,managing correspondence, and maintaining records anddocumentation. Assist with developing and monitoring departmental budgets,ensuring adherence to financial policies and procedures. Support strategic implementation efforts by collaborating withdepartmental stakeholders to align operational activities withorganizational goals and priorities. Serve as a liaison between the department(s) and internalstakeholders, other departments, and external partners orvendors. Conduct research and analysis to provide recommendations onoperational and administrative improvement opportunities. Assist in the development and implementation of administrativepolicies, procedures, and guidelines to ensure compliance and bestpractices. Coordinate and support departmental projects and initiatives,including tracking progress, facilitating communication, andensuring timely completion. Job Responsibilities: Candidates must be able to manage their time, anticipate needs ofothers and work under tight deadlines often managing more than oneproject at a time.
