WELLNESS, #10 DOCTORS PARK, GIBSON CITY, IL 60936 GENERAL SUMMARY The Traveling Registrar/Certified Medical Assistant, Certified Nursing Assistant or Nursing Assistant is a clinical professional staff member who performs duties of a registrar as well as duties to obtain clinical information/data, clinical CLIA waived lab testing, and testing on medical equipment necessary for medical services. Greets, ascertains needs, instructs, directs, and schedules patients and visitors. Serves as a liaison between patient and medical support staff. Provides staff support to the Physician and Mid-level practitioner. Collects information from the patients for entry into computer system for use by the physicians, mid-level practitioner, other staff, and billing. May also be required to work in clinic office setting or hospital setting at times when mobile unit clinic is not traveling. GIBSON AREA HOSPITAL & HEALTH SERVICES MISSION STATEMENT To provide personalized, professional healthcare services to the residents of the Communities we serve. PRINCIPAL DUTIES AND RESPONSIBILITES 1. Checks equipment at the beginning and end of each shift to ensure it is in a state of operational readiness.
2. Cleans and sanitizes exam rooms, arranges furniture and equipment in an orderly fashion. Cleans and sanitizes bathroom, nursing station, and all other mobile clinic areas with germicidal commercial grade cleaning solutions and procedures.
3. Dry dusts and wet mops as appropriate to all floored areas.
4. Replenishes supplies of hand soap, hand sanitizer, deodorizers in dispensers and paper products.
5. Vacuums all carpeted areas in mobile unit.
6. Documents on cleaning chart each time mobile unit is cleaned each day mobile unit is in use. Completed cleaning charts are placed in binder and kept on mobile unit for 3 years.
7. Notifies Manager of any necessary repairs needed.
8. Meets scheduled attendance as needed.
9. Confidentiality is to be maintained at all times.
10. Responsible for opening up mobile clinic at time of arrival of destination or prior to arrival and closing mobile unit at end of day or after last patient has left the mobile unit on or after 4 pm. Opening includes: turning on any office equipment, turn off night message for phones at 9am to allow calls to go thru if applicable, unlock cash drawer if applicable, make sure mobile unit is in neat & orderly manner before open. Closing includes: turn on night message for phones after 4pm, counting money in cash drawer and locking cash drawer if applicalbe, taking any money collected throughout the day and placing in a deposit bag and putting deposit bag in managers mailbox at GROW office location, placing any mail and any completed fee tickets in manager's mailbox at GROW office location, turning off all applicable lights, and making sure everything including mobile unit is locked prior to leaving for the day.
11. Ensures all locks on cabinets in traveling mobile unit with authorized access to are unlocked at beginning of office hours and are locked after office closing hours and after last patient has left.
12. Courteously answers multi-line telephone if applicable and directs calls to appropriate party or takes accurate message. If applicable then, required use of multiple phone functions including placing calls on hold, paging system, and message system.
13. Courteously greets visitors and directs appropriately on to assess needs.
14. Checks-in all patients using our new Meditech electronic records system. Verifies insurance coverage, patient addresses, phone numbers, and co-pays and money owed on all patient accounts. Photo ID for proof of identity & insurance card is to be presented at each patient visit. Verify Health Care of Family Services (HFS) for those who have IL Medicaid as coverage using insurance verification web-site MEDI or Onesource. Medicaid patients may be seen if they have regular IL Medicaid, Aetna Better Health, BCBS Medicaid, Molina or Meridian insurance. Insurances can be verified utilizing Onesource, Availity, and other websites and applications. For Medicare Part B and Medicare Advantage plan patients the Medicare Secondary Payor (MSP) electronic questionnaire is to be completed in Meditech.
15. Prepares Encounter or "Fee Ticket" forms for patients with appointments if applicable & verify with patients that all information is correct before handing over to nursing staff.
16. Collects money from patients at time of service for co-pays, co-insurance, deductibles, payment of service, or balance on account(s). Checks are to be written payable to Gibson Area Hospital. Cash and check payments have a paper receipt that is filled out. Credit cards for office related payments are to be swiped with card reader after logging into Rectangle Health and logging the payment into Meditech. Three credit card receipts are to be printed, 1 for client to keep, 1 for client to sign, and 1 more additional copy. The two remaining receipts are to be placed appropriately in cash box and notify GROW manager to complete deposit to send to GAH finance department.
17. Communicates in a professional manner at all times.
18. Schedules appointments for the Physicians and/or Mid-level Practitioner and nurse schedules. Schedules all patient appointments for providers providing services in the traveling mobile unit.
19. Instructs various patients on proper urine collection procedures and escorts to location of restroom facility in order to obtain more accurate specimens for examination if applicable.
20. Scans all patient related information into the computer system, such as registration information, insurance cards, hospital reports, ER reports, labs, X-ray reports, and other physician consultation notes, patient photos & IDs, insurance cards, etc. into Meditech.
21. Checks over provider's appointment schedules for organizing patient flow
22. Prepares treatment rooms for patient examinations, keeping room neat, clean, orderly, and proper equipment and supplies readily accessible for type of visit and or procedure.
23. Greets patients appropriately and escort patients to exam rooms; performs, documents and reports vital signs and records height and weight, assesses patient's general condition.
24. Documents social/family/medical history, current complaint(s) with review of systems.
25. Documents patient messages and forwards information to Physician, Nurse, NP, PA. Does not provide medical advice or recommend treatment.
26. Assists patients as needed with walking, walking devices, wheelchairs, transfers, undressing instructions, collecting specimens, preparing for exam, etc.
27. Schedules referrals by phone to area physician offices and hospitals for tests and consults.
28. Adheres to infection control/safety guidelines keeping exam and work areas neat, clean, and in orderly fashion.
29. Knowledge of proper use of medical equipment including stethoscope, EKG machine, speculums, scales, blood pressure cuff, and others as deemed appropriate for scope of practice.
30. Maintains and restocks exam rooms and registrar area with needed supplies.
31. Monitors supplies, except medications, for outdating and disposes as needed.
32. Informs "orderer" or manager at GROW of office and lab supplies that are needing to be ordered. The "orderer" is the person responsible for ordering supplies for the office. Does not order medications.
33. Performs and sets up equipment needed for venipunctures, drug screens, clia waved tests, and other medical equipment testing, as evidence of competency allows, as ordered by the Physician/Nurse Practitioner/Physician Assistant/Nurse.
34. Ensures laboratory logs are completed and kept in secure cabinet.
35. Collects blood, tissue, or other laboratory specimens, completes order requisitions and/or other forms for submitting specimens, logs the specimens, and prepares them for testing and either drops off at GROW prior to 4pm or at the hospital if after 4pm.
36. Performs delegated duties assigned from the RN/LPN, provider, or manager.
37. Follows Infection Control fundamentals r/t: Standard Precautions, good hand washing, disposal of biohazardous materials, aseptic technique, disinfection of instruments/equipment.
38. Gathers soiled laundry bag when receptacle is full and drops off at GROW location for pick-up. If mobile unit is needing more gowns/sheets before clean laundry arrives, call GAH Laundry @ ext. 2672 for needs and have delivered to GROW for mobile unit to pick-up to restock.
39. Discards all trash in regular trash receptacles including exam rooms and all other
mobile unit areas using proper personal protection equipment when handling at end of each working day or if needed before if full.
40. Removes filled biohazard bags as well as removes any full sharps containers to biohazard bin if certified in biohazard waste removal and replaces with new red bags or new approved sharps containers.
41. All other duties assigned by the Office Manager/Physician/Mid-level Practitioner. PHYSICAL REQUIREMENTS/MENTAL DEMANDS: 1. Requires sitting or standing for long periods of time; also stooping, bending, and stretching for files, equipment, and supplies. Occasionally lifts files or paper weighing up to 30 pounds.
2. Requires manual dexterity to operate a keyboard, type at minimum of 40wpm, operate a computer, multi-line telephone, copy/fax machine, and other office equipment as well as EKG machine and other medical equipment. 3. Vision must be correctable to 20/20 and hearing must be in the normal range for telephone contacts to hear patient's verbal communication and gather data to relay. 4. Involves frequent contact with staff and patients and may require dealing with angry or potentially violent people. 5. It is necessary to view and type on computer screens for long periods and to work in an environment which can be very stressful. 6. Clarity of speech for others to be able to understand instructions and interpretation given. 7. Ability to tell when something is wrong or is likely to go wrong. 8. Emotional stability conductive to dealing with patients and family members. 9. May be required to work beyond regular traveling mobile clinic scheduled hours. 10. Exposure to communicable diseases and other conditions common to medical facility setting. 11. Physical strength to perform the following lifting tasks:
• Floor to waist - 20 pounds
• 14" to waist - 30 pounds
• Waist to shoulder - 20 pounds
• Shoulder to overhead - 10 pounds
• Carry 30 pounds for 30 feet
• Push 10 pounds/force for 15 feet
• Pull 10 pounds/force for 15 feet REPORTING RELATIONSHIP Report to Office Manager/Respective Physician or Mid-Level Practitioner. EDUCATION, KNOWLEDGE AND ABILITES REQUIRED: 1. High school graduate or equivalent.
2. Valid Illinois Class D driver's license or ability to obtain such a license prior to the completion of orientation if person will be operating and driving a GAH courier vehicle instead of traveling on the mobile unit. Must be at least 21 years old and have a safe driving record to operate and drive GAH courier vehicle to different county destinations if applicable. Must maintain insurability on the company insurance policy.
3. Must pass competency by laboratory supervisor/designee for all CLIA
waived testing, venipunctures, drug screens, and medical equipment testing and Oriented by RN/LPN according to any and all job skills required to perform said duties, in the clinic environment.
4. Proficient in mathematics for medications, vital signs, weights, heights.
5. Ability to learn and retain information regarding patient care procedures.
6. Trained and/or certified in phlebotomy to perform blood draws.
7. Trained on environmental services needed for mobile unit.
8. Ability to deal with the public in a pleasing and efficient manner.
9. Ability to use various computer applications and other office equipment.
10. Ability to speak clearly and concisely
11. Ability to establish and maintain effective working relationships with patients, employees, and the public.
12. Knowledge of patients' rights.
13. Current CPR certification or able to achieve within six months of hire.
14. Knowledge of medical terminology; medical coding including ICD-9, CPT, & HCPC codes recommended. INFECTION EXPOSURE RISK LEVEL Category 2 - Minimal Risk - This job may expose you occasionally or in emergency situation to blood, body fluids, or tissue. The Hepatitis B vaccine shall be made available. Yearly flu vaccination and tuberculosis testing are required. WORKING CONDITIONS 1. Will work in a traveling mobile clinic setting with co-workers where space may be tight, subject to several work interruptions, which can produce stress and fatigue.
2. Involves frequent contact with staff, patients, and the public and may involve dealing with angry or upset people.
3. Works in a traveling mobile clinic setting where there are relatively few discomforts due to dust or dirt. There are some exposures to print noise and traveling noise.
4. May be required to work beyond regular traveling mobile clinic hours.
