Department Overview The Department of Economics is an inclusive, ambitious, innovative and large department within the Social Sciences Division. The department offers one Ph.D. program and one professional master’s degree program, and multiple master’s pathways for undergraduate and international students, in addition to multiple undergraduate degrees. Graduate and undergraduate students come from a diverse background with many from international locations and California. Our graduate students train in applied microeconomics, macroeconomics, finance, and behavioral and experimental economics, and they pursue careers predominantly in academia, finance, hi-tech, fintech, central banking, data science and governmental policy. The senior graduate programs coordinator will use outstanding organizational, interpersonal and problem-solving skills to work with staff and faculty colleagues and 50-80 students in our two programs overseeing financial aid, budgeting, visa support, student employment, awards and program management and mentoring and supervision of the graduate programs coordinator. Faculty, staff and students work well together. Advising students to attain their educational and professional goals is highly rewarding work. More information about the Economics Department may be found at: Job Summary Applying advanced, specialized student services expertise and a high degree of autonomy, the graduate programs coordinator works under the general direction of the department manager to manage independently the department\'s Ph.D. and professional M.S. graduate programs. The incumbent exercises programmatic responsibility and accountability for a complex student affairs function, involving management of multiple budgets and incoming fund sources; coordinating all graduate programmatic activities and support services; mentoring, training and supervising the department\'s graduate adviser; advising department staff, faculty and students on a variety of complex student issues, policies, practices and procedures; identifying problems and issues and proposing solutions; improving upon and establishing best practices. The primary location of the position will be on campus for optimal service to our students. Appointment Information Budgeted Salary: $85,550 - $99,500 / Annually . Salary commensurate with skills, qualifications and experience. Manage graduate program and student services for day-to-day operations and long-term goals. Ensure on-site graduate advising staff availability for students during normal business hours. Research, interpret and counsel faculty on university and department programmatic policy including and not limited to admissions, leaves, events, student conduct, student progress, student employment, funding obligations, financial aid, financial management, and curricular and programmatic planning and policy. Identify and analyze problems and propose solutions and revisions to policies and practices. Seek input from students on the programs to facilitate planning. With the Ph.D. director, assign ASE positions to students to maximize curricular and instructional support while avoiding academic conflicts. Coordinate department-related graduate student employment and evaluation thereof; track employment of our graduate students by other units. Work closely with graduate directors and provide input on graduate course scheduling to support timely progress to degree and compliance with university scheduling parameters. Facilitate quarterly and annual faculty input on student performance and progress, and track student progress to degree. Compile and provide reports on student progress and performance as requested by the graduate directors, department manager and department chair. Supervise and participate in event coordination to support continuing and prospective graduate students. In consultation with the graduate directors and committee, coordinate and implement outreach to other institutions to promote graduate programs. Advise prospective applicants on necessary academic preparation; appropriateness of program as it pertains to prospective applicant\'s goals. Coordinate with the faculty directors outreach to prospective students. Aid directors to develop admission packages. Serve as the primary liaison and resource on department graduate affairs to personnel in other offices including the Offices of the Dean, Registrar, Graduate Division, International Student Services, Planning and Budget, Information Technology Services, and academic departments to provide, seek or coordinate timely accurate information, and to notify of problems, and contribute to strategic problem solving. Financial Management and Tracking (20%) Oversee complex financial and operating budgets for the economics Ph.D. and professional degree programs in compliance with campus and University of California regulations. Budgetary funds primarily consist of block, financial aid, incentive program, donor and professional fees, each carrying different restrictions, obligations and variances from year to year. Project and track actual funding (balances or deficits) for ASE positions and personnel. Maintain accounting and initiate reimbursements; project expenses and reconcile ledgers. Compile and provide financial data and information for annual budget forecasting as requested by the graduate directors, department manager and department chair. Oversee the administration, evaluation and equitable awarding of fellowships, financial/return-to-aid, ASE positions and other fund sources, and manage these funds as well as graduate travel, reimbursement and outreach funds in compliance with the intended and allowable use of the fund source. Work with administrators external to the department to ensure accuracy of data, and reconcile discrepancies as needed. Graduate Student Counseling and Advising (15%) Apply professional student services concepts to provide the full range of student services to the economics graduate student population in tandem with and as primary back up to the economics graduate adviser supporting graduate advising activities. Effectively communicate to and counsel students on enrollment, orientation, programmatic tracks, programmatic and progress requirements, leaves, graduation, employment, programmatic and support opportunities and department and university resources, using variety of mediums, such as group presentations, one-on-one meetings, listserves/Google groups, email, signage, and website management. Assess advising services and communications for effectiveness, relevance and improvement. Review and appropriately routes related student petitions. Seek to understand and facilitate productive discussions to resolve student conflicts, challenges and needs. Support student job market activities. Supervisory Responsibilities (10%) Serving as the department’s graduate programs and advising subject expert, supervise, train and mentor graduate program support staff, setting priorities and deadlines for completion of tasks. Other Duties as Assigned (5%) Miscellaneous duties contributing to the functioning of the graduate programs and department. Required Qualifications Bachelor\'s degree in related area and / or equivalent experience and / or training. Advanced knowledge of advising and counseling techniques. Fluency in math to perform fractions, percentages and budgetary management. Demonstrated ability to understand, develop and present budgetary and financial information. Demonstrated ability to research, interpret, and apply policies, procedures and information. Demonstrated ability to create systems to track and track a complex set of data. Skills in project management, social perceptiveness to be aware of others\' reactions and understanding why they react as they do. Skills in judgment and decision-making, problem solving, identifying measures of system performance and the actions to improve performance. Skills in problem identification, and original problem solving. Ability to identify measures of system performance and the actions needed to improve performance. Strong organization and planning skills, including the ability to set priorities and meet deadlines to complete a high volume of work with frequent interruptions. Preferred Qualifications Knowledge of University-specific computer application programs and knowledge of University and departmental principles and procedures involved in risk assessment and evaluating risks as to likelihood and consequences. Supervisory experience of student, volunteer or career staff. Working knowledge of university financial management compliance requirements. Special Conditions of Employment Selected candidate will be required to pass a pre-employment criminal history background check. Selected candidate must pass the employment misconduct disclosure process. Selected candidate will be required to complete training within established time frames as directed including UC compliance training. Ability to work long periods of time at a computer with or without accommodation. The selected candidate will be required to work primarily on campus, with periods of remote work possible based on operational needs. If a hybrid work schedule is confirmed, the selected candidate must be able to work successfully from a home/remote office and be able to fulfill the requirements of the UCSC telecommuting agreement. (The work modality of this position is fundamentally in person). Ability to work occasional evenings and weekends as directed.
