Events & Marketing Coordinator – Full Time On Site Job Responsibilities As Events & Marketing Coordinator, your duties will include, but are not limited to: Evenings and weekends are a must for this position, most private events take place at night or on the weekends, although there are some daytime events, a majority are in the evenings. Ability to work flexible schedules due to the needs of the business, including evenings, weekends and holidays. Collaborating with clients to understand their event objectives, preferences, and requirements. Strong attention to detail. Create and ensure a safe, fun-filled, entertaining, and exciting environment. Planning and coordinating all event logistics, such as venue details (i.e. linens, timelines, menus, catering, audiovisual equipment, etc.) with appropriate departments. Maintain strong communications between front of house and back of house as well as departments impacted by scheduled events. Managing event budgets and expenses, negotiating contracts with vendors as needed. Creating detailed event timelines and schedules to ensure all deadlines are met. Responsible for control and execution of BEO requirements for all events. Report all situations to a manager or relief personnel in a timely manner. Knowledgeable of activities and amenities of the Fairways of Halfmoon. Accurate handling and booking of reservations utilizing the company reservation system, PerfectVenue. Must be able to work with limited supervision and adapt quickly to change. Must be self-motivated. Handling guest registration and managing RSVP or ticketing systems as required. Proper radio, telephone and written etiquette are mandatory. Providing on-site coordination during event setup, execution, and teardown. Quickly and efficiently troubleshooting and resolving issues that may arise during events. Conducting post-event evaluations to gather feedback and assess success. Taking guest photos and videos to be utilized on various social platforms. Creating, posting and executing promotional efforts for events. Develop, schedule and manage all social media campaigns to increase brand visibility, engagement and customer traffic for Fairways of Halfmoon and Hank Hudson Brewing. Create and maintain a consistent voice for Fairways of Halfmoon and Hank Hudson Brewing across all marketing channels. Create and issue a monthly e-mail newsletter. Track marketing performance metrics, provide reports and recommend adjustments to improve reach and effectiveness. Provide creative ideas to promote/post each week.
