Hours of Work 40 Days of Week 5 Work Shift Job Description The Referral Specialist will provide support to all Med-Health clinics and referral services, including processing all incoming referrals from providers and clinical support staff. The specialist serves as a reserve point of contact for the Med-Health clinics, handling incoming calls, appointment scheduling, and follow‑up calls related to coordination of care. The role functions as a liaison between patients and clinical support staff. Job Requirements High School Graduation or GED required. 2+ years of professional medical knowledge in a practice setting preferred. Bilingual a plus. Diploma from an accredited medical assistant program preferred. Ability to work on discrete tasks in a high volume, high‑pressure environment. Good judgment and professional demeanor required. Current National Medical Assistant Registration/Certification preferred. Job Responsibilities Provides exceptional customer service while performing tasks professionally and with a positive attitude, handling multiple tasks concurrently. Researches required information using available resources and resolves customer issues, escalating priority tasks per department workflows. Completes non‑urgent referrals, demonstrating knowledge of workflow processes, and ensures timely completion within established time‑frame criteria. Manages physician referral requests and coordinates with office management, specialist staff, and insurance companies to provide high‑quality patient care. Verifies patients have scheduled appointments with specialty providers and supplies patient addresses, phone numbers, and authorization referral forms to specialists as needed. Sends completed specialist referral forms, lab results, patient demographics, test data, and primary care notes via eFax to other physicians and patient service consultants. Documents all encounters with patients and physicians within the EMR system, logs referrals, and monitors status for timely completion. Makes outbound calls as needed to complete referral‑related tasks. Acts as a reserve point of contact for Methodist Family Health Centers and Methodist Medical Group regarding incoming calls, appointment scheduling, and follow‑up coordination of care. Maintains strict confidentiality while striving for first‑call resolution. Screens calls, takes messages when applicable, and conveys information according to department workflows. Complies with all administrative referral workflows and follows organizational policies and procedures specific to Med-Health. Communicates issues or delays that may impact patient quality of care and customer service to management. Participates in continuing education and other activities to maintain professional competence. Works collaboratively with department members to promote a team approach focused on achieving high‑quality patient care and staff cooperation. Performs other tasks assigned by management.
