Construction Project Manager/Estimator

Work under limited supervision. Using Cradle to Grave Project Management, oversee every aspect from scope definition through the warranty period. Oversee a building project from start to finish using project management software. Work on mostly complex functions. ESSENTIAL FUNCTIONS Project Management Rough Estimate Phase Plan and compile a budget to provide a rough estimate of total job cost utilizing construction software specification templates. Submit rough estimate to Sales/Marketing for review and prospect presentation. Develop project and have it reviewed by Director of Construction Sales/Marketing for feedback. Compile specific and detailed specifications for the project using construction software specification, bid, and estimating modules. Develop plans with architects, engineers, and trade partners to further develop fully detailed specifications. Obtain project specific detailed costs based on the plans and the specifications, converting them to bid requests using the construction software bid module. Enter the date in the appropriate specification categories developed in construction software for the project. Review the final budget and estimate to confirm that the required information to create the proposal is in place and appropriate margins and contingencies have been applied. Develop the final specifications and forward them to General Manager and Sales/Marketing for review, working with Sales to perform requested edits and supply missing quote details. Assist Office Manager in permitting if the process has begun during the design contract phase. Develop a preliminary timeline for the project from construction start to close using the construction software scheduling module. Contract Phase and Project Start‑up Begin final bid and specification edits based on feedback from Sales during contract signing. Develop a final critical path schedule from start to completion, detailing scope of work required for the project and assigning deadlines for final material selections. Needs to be complete prior to the orientation meeting. Coordinate changes required during the permitting process and process change orders required via construction software. Attend pre‑construction orientation meetings with staff and customers, processing notes and follow‑up assignments using construction software to document any changes. Set up protocols for customer communication via construction software and offer parameters for weekly on‑site meetings and document in construction software. Finalize bids and pricing for each specification and select trade partners to be used in the project, while maintaining or improving the original budgets developed. Award contracts to trade partners via purchase orders or the bid award system in construction software. Issue purchase orders at schedule startup and utilize multiple purchase orders for split phase tasks, such as rough and trim phases. Convert any in‑house staff field tasks to an hourly format for cost tracking. Process requested option pricing tied to specific construction software specifications and convert any accepted options to change orders and to the appropriate purchase or variance purchase order. Coordinate the schedule via personal contact with each trade partner and assure that the schedule notifications are processed to compensate for the required lead time. Personally visit each jobsite on a regular basis, preferably daily. Update the production schedule noting daily progress for each trade, as well as other conditions using the construction software Job Log system. Document trades not meeting performance requirements, including missed schedule dates to provide feedback and assess future assignments. Assess jobsite conditions, cleanliness, job safety, and material staging, etc. Note issues with bid specifications and take necessary actions to keep the project on schedule. Document cost or material quality variances and the reasons in construction software; discuss with trade partners and management. Issue variance purchase orders in a timely manner and keep on file for billing. Process company purchased excess material remaining on site for return credit when possible. List specifics of the materials and provide to the trade partner for pick up. Upload the list and photos to construction software, as well as related variance purchase orders issued for credit. Approve invoices for each project and document changes from the original purchase order. Submit any receipts for purchases or other non‑purchase order costs processed per company policy weekly. Document vital communications with subcontractors and customers in construction software under the appropriate category. Coordinate and document customer walk‑throughs at various stages of construction. Document punch list items in construction software in the appropriate module. Coordinate, plan, and manage schedules for contractors and subcontractors. Resolve any issues with customers, contractors, subcontractors, or suppliers that may arise so that project remains on schedule, elevating the issue to the General Manager then President when necessary. Comply with all local governing municipalities regulations, specifications, and codes. Schedule and perform necessary local government inspections and upload documents to construction software. Provide reports to entire staff through construction software and at weekly meetings on timeline, progress, and adjustments. Practice established company safety measures. Project Completion/Warranty Period Provide 30‑day notice of completion to management/customer to facilitate final billing and payment. Review in‑house completion checklist, document incomplete items in construction software and schedule completion. Conduct a pre‑closing walk‑through and orientation with customer, noting incomplete items or issues in the warranty module of construction software. Review functionality of systems, emergency shutoffs, and use and maintenance of items and systems during orientation. Conduct a post‑closing walkthrough 45 days from the original settlement, noting any open items in the warranty module/45‑day sub‑list of construction software. Coordinate completion. Field emergency issues that arise during the warranty period and process completion in an expedited manner, documenting the process. Obtain occupancy permit and ensure all legal requirements, building and safety codes, safety inspections, city guidelines, and local and state regulations are met. Attend scheduled and impromptu staff and other meetings. Provide feedback on policies and procedures and offer suggestions for improvement. Adhere to policies and guidelines, including those in the Company Handbook. Perform additional duties as assigned. Maintain and track the Scholl tool inventory. Coordinate all required tools, materials, and equipment for daily workflow. HIRING REQUIREMENTS Minimum of five years of management experience in the construction industry. Ability to handle and resolve all challenges connected to a project. Ability to deal with several issues simultaneously that demand pertinent attention and provide appropriate recommendations to customers, subcontractors, suppliers, and employees. Possess a full understanding of all phases and order of construction projects. Proficiency in project management software and construction documentation. Possess valid driver’s license. WORK ENVIRONMENT Combination of office‑based planning and on‑site supervision.
