Based in Storrs, CT

The University of Connecticut Professional Employees Association (UCPEA) has an immediate opening for a full-time Financial Administrative Assistant in Storrs, CT. 

About UCPEA
The University of Connecticut Professional Employees Association (UCPEA) is the labor union that represents the non-teaching professional staff bargaining unit at the University of Connecticut (UConn). We negotiate and enforce the collective bargaining agreement that governs the terms and conditions of employment for more than 2,200 professional employees working as nurses, doctors, librarians, advisors, academic program and administrative support, information technology services, institutional operations and much more. 

The UCPEA is a diverse, democratic organization led by members who are elected to represent employee interests and establish the union’s policies, goals, and bargaining priorities.

Position Summary
With a commitment to cultural humility and an on-going awareness of personal biases, this position provides financial and administrative support for the UCPEA Office in compliance with established policies and procedures. The Financial/Administrative Assistant reports to the Executive Director (or designee). 

Duties & Responsibilities

  • Perform day-to-day bookkeeping activities including but not limited to: 
    • record transactions
    • categorize expenses
    • process accounts payable and receivable
    • reconcile accounts. 
  • Maintain accurate, up-to-date, and accessible records of all financial transactions.
  • Respond to and resolve financial inquiries and issues. 
  • Prepare financial documentation for external audits and historical data to support the annual budget preparation process.
  • Provide administrative support including but not limited to:
    • Prepare, edit, and format documents
    • Maintain physical and electronic filing systems
    • Assist staff with daily tasks, data entry, and projects
    • Coordinate office maintenance and cleaning
    • Maintain office inventory and orders supplies as needed
    • Answer, screen, and direct phone calls
    • Respond to and direct incoming emails
    • Welcome and assist office visitors
    • Assist with event planning and on-site event support
    • Book meeting spaces and coordinate appointments
  • Perform related work as assigned. 

Required Qualifications
Experience

  1. One (1) year of professional bookkeeping or accounting experience, three years of volunteer bookkeeping experience, or relevant degree.

Knowledge

  1. Bookkeeping practices and procedures.
  2. Account reconciliation processes. 
  3. Microsoft Office or similar productivity software.

Skills

  1. Communicates effectively with others one-on-one and in small groups. 
  2. Comfortable using or learning common office software and collaboration tools. 
  3. Proficient in addition, subtraction, multiplication, division, and percentages.

Preferred Qualifications
In addition to all required qualifications:

Experience

  1. Three (3) years of professional bookkeeping or accounting experience. 
  2. Experience using Microsoft Word, Excel, and Outlook.
  3. Experience using Adobe Acrobat.
  4. Experience using QuickBooks Online or other similar accounting software.

Knowledge

  1. 501 (c)(5) financial regulations and reporting requirements.
  2. Internal structure of labor unions. 
  3. Relationship between union membership and dues. 

Certification

  1. AIPB Certified Bookkeeper, NACPB Certified Public Bookkeeper, or similar.

Compensation
The hiring range for this position is $70,000 – $80,000/year. Benefits include medical and dental insurance, 401k, 15 paid holidays, 2 personal leave days, 15 sick days, and 23 vacation days.

Search Process
The search process has four steps:

  1. Application
  2. Screening
  3. Skills assessment
  4. Interview
