Program Assistant

Overview Western Washington University (WWU) is seeking a part-time Clerical Support position in the Computer Science Department to assist administrative staff and department leadership. The position supports the Department Manager, Advising & Outreach Specialist, and Academic Program Coordinators, helping the department run efficiently and foster an inclusive educational environment for students, faculty, and staff. Position Details Type: Permanent, part-time (.75 FTE) cyclical position. Responsibilities Provide administrative and clerical support to the Department Manager, Advising & Outreach Specialist, and Academic Program Coordinators. Duties include communicating program policies, composing materials, using databases to query records, running reports, entering registration overrides, and maintaining records; editing materials for accuracy and readability; coordinating advising sessions, meetings, and events; developing relationships with partner colleges; assisting with articulation agreements; and supporting scholarship processes. Support the department’s faculty and staff with scheduling, facilities management, procurement, mail handling, access management, travel processing, and other tasks as needed. Coordinate events and marketing activities for the department, including liaison work with internal/external presenters, logistics, and publicizing events; assist with the Tech Talk series; collect and distribute information about departmental activities; create promotional materials and media content; manage notices and announcements across campus channels. Lead administrative office operations, including answering phones and emails, greeting visitors, inventory management, and maintenance coordination. Serve as webmaster for departmental websites: assist with site organization, design, content, major project launches, and ensuring branding and accessibility standards. Required Qualifications High school graduate or equivalent Two years of clerical experience or equivalent education/experience Excellent interpersonal and communication skills Excellent problem solving skills Strong written and verbal communication abilities Attention to detail Ability to prioritize multiple tasks amid interruptions Demonstrated ability to work within a team Proficiency with MS Office (Outlook, Excel, Word, mail merge, etc.) Willingness to learn new software Able to lift and carry office-related materials Experience working with a diverse population Preferred Qualifications Two years of customer service experience Experience in higher education Experience with Banner software Experience with Drupal, HTML, or other CMS Experience with Adobe Photoshop and/or Illustrator Conditions of Employment All employees must comply with immunization policies, including proof of Rubeola (Measles) immunity within 60 days of hire.
