Bilingual Legal Office Manager

Job Duties

Responsible for overseeing the office's daily operations, supervising legal assistants, and ensuring the timely preparation of complex legal filings. This role involves maintaining and improving our CRM systems (eImmigration and Monday.com), client communication platforms, and internal case tracking and billing tools. Must also ensure office equipment and software remain current and effective, support billing and collections, and assist in developing procedures responsive to changes in immigration policy. Strong English and Spanish communication skills are essential for client interaction and drafting client-facing materials, as many of the firm’s clients are Spanish speakers.

Specific duties include:

• Supervise and train legal assistants regarding office procedures and preparation of legal filings.

• Prepare complex legal filings, including drafting forms, filing letters, and requesting documents and information from clients and government records.

• Maintain case tracking system and prepare reports in CRM (eImmigration and Monday.com) regarding pending matters and future actions required, such as document renewals and eligibility for future benefits.

• Manage and improve client communication systems via text, phone, VOIP and email systems. Draft bilingual templates for client communication.

• Maintain and improve automated systems for interoffice case reminders, automated client billing statements, and case tracking.

• Maintain office equipment (computer/printer/scanner) and software, ensuring regularly updated. Monitor available other tools to ensure the office is using the best available tools for office. Order office supplies.

• Maintain billing and collections using Monday.com and stripe.

• Follow updates in government policy that impact office procedures, and with attorney assistance, design new office systems to address changes.

• Communicate with clients and prospective clients in English and Spanish on the phone and in person.

Minimum Experience Required

Requires two years of experience working in an office.

Experience must include:

• Experience in managing legal office operations, including scheduling, correspondence, and case and deadline tracking.

• Experience working with gsuite, immigration case management software (e.g., eImmigration), and CRM (Monday.com).

• Experience handling billing and trust account record keeping using Lawpay and stripe.

• Experience working with immigration forms, procedures, deadlines (USCIS, EOIR, NVC), and tracking requirements.

• Experience in setting which requires maintaining client confidentiality, legal ethical obligations, and record keeping obligations.

• Experience in supervising administrative staff.

• Experience working with diverse clients, including those with limited English proficiency and education.

Proficiency in Spanish and English required, oral and written.

Hybrid remote work is permitted (2 days a week).
