Non-Clinical - Patient Access Rep

Patient Registrar

Responsible for scheduling surgical and non-surgical appointments. Checkout patients from the practice while following scheduling procedures. Schedule patients for surgery efficiently, utilizing block time properly. Ensure pre-operative clearances are obtained and paperwork is faxed to the appropriate parties. Schedule post-operative appointments for all surgical cases. Complete all tasks or ensure they are progressing by the end of the business day. Adhere to scheduling guidelines and no-show/cancellation policies. Document all electronic health record (EHR) tasks accurately and promptly. Demonstrate proficiency in scheduling software. Monitor physician schedules to accommodate surgical bookings and ensure efficient use of operating room block time. Communicate the release of time to management as per guidelines. Ensure proper communication with providers and patients, providing accurate information. Answer all patient phone calls in a courteous and professional manner. Return phone calls by the end of the business day, answering within three rings. Maintain administrative and clinical calendars as assigned. Perform schedule changes and manage schedules for assigned providers. Pick up and deliver reports, forms, and messages as required. Prepare physician forms and applications as needed for signature. Adhere to guidelines for notifying billing and pre-certification specialists of scheduled appointments. Facilitate peer-to-peer requests between practice staff and insurance companies as needed. Treat all individuals as guests, including patients, coworkers, and visitors. Show commitment to maintaining a safe and clean environment. Ensure the privacy of all patients is respected. Handle confidential information with discretion and sensitivity. Flexible to work at multiple locations as required. Report equipment malfunctions to the supervisor immediately. Display courtesy, tact, and diplomacy when dealing with staff, colleagues, and visitors. Offer assistance whenever possible to help others achieve their goals. Perform other related duties as required.
