Information Desk Receptionist

Our client is a healthcare organization seeking a dependable and customer-focused professional to support its Information Desk. This role is responsible for managing incoming communications, assisting patients and visitors, coordinating internal notifications, and responding to time-sensitive situations throughout the facility.

The Information Desk Receptionist serves as a central point of communication for patients, visitors, staff, physicians, and other individuals contacting the facility. In addition to handling a high volume of calls and providing general assistance, this position monitors communication systems, coordinates emergency notifications, maintains daily information, and helps ensure the appropriate personnel are contacted when needed.

Key responsibilities include:

• Answering and routing incoming calls to the appropriate departments or personnel while providing helpful and professional customer service.
• Managing both routine and urgent communications, including paging staff and escalating emergency calls appropriately.
• Monitoring emergency communication systems, including fire and medical emergency alarm panels, and initiating the appropriate notification procedures.
• Using email and internal communication platforms to relay important information to staff and designated contacts.
• Accessing internal systems and resources to obtain patient-related information, schedules, and other information needed to assist callers and visitors.
• Preparing and distributing daily physician service and coverage information to appropriate departments.
• Using company-issued mobile communication devices to contact staff and coordinate responses.
• Receiving requests from departments throughout the facility and connecting them with the appropriate personnel.
• Participating in emergency response procedures and assisting with communications during code situations.
• Initiating staff call trees when required for emergency events, inspections, or other time-sensitive situations.
• Providing clear directions and general assistance to patients, visitors, vendors, delivery personnel, and other individuals accessing the facility.
• Maintaining accurate records of emergency calls, overhead pages, electronic notifications, and other communications.
• Assisting with requests involving regulatory personnel, media, volunteers, family members, and other visitors while following established procedures.
• Communicating with law enforcement, correctional personnel, and security contacts when matters involving patients or facility security require coordination.
• Processing physician requests related to on-call coverage and communicating updates to the appropriate internal contacts.
• Maintaining accurate desk records, directories, schedules, and reference information.
• Handling multiple calls, requests, notifications, and competing priorities simultaneously while remaining calm and professional.

Qualifications include:

• High school diploma or equivalent required.
• Previous receptionist, switchboard, call center, customer service, or healthcare experience preferred.
• Strong verbal communication and interpersonal skills.
• Professional and welcoming approach when interacting with patients, visitors, staff, and callers.
• Comfortable handling a high volume of incoming calls while maintaining accuracy and attention to detail.
• Basic computer skills and the ability to learn and navigate multiple systems.
• Ability to quickly locate and communicate information using internal resources.
• Strong multitasking and organizational abilities.
• Comfortable handling urgent or emergency communications in a calm and professional manner.
• Healthcare phone, switchboard, paging, or telecommunications experience is a plus.

• This is an on-site position in Nashville, TN.
• The role is being filled on a contract-to-hire basis with an immediate need.
• Candidates must be flexible to work some weekends.
• The position requires frequent interaction with patients, visitors, physicians, staff, and external contacts.
• Due to the nature of the role, strong attention to detail and the ability to remain composed during high-pressure situations are important.
