OFFICE SPECIALIST

Class Title

Clerical position that involves more complex clerical tasks and may serve as the back-up timekeeper or LOGOS processor.

Duties

1. Uses PC or terminal keyboard to type or generate memos, letters, reports, or other established formats for information and/or data; 2. Inputs data, statistics and/or other information to established formats; files and retrieves documents, both manual and electronic; 3. May use other common office machines such as typewriter, copier, tape recorder, fax, and calculator. 4. Performs administrative support functions; may serve as designated "timekeeper" or LOGOS operator; may maintain fleet database; may procure goods and services. 5. May compile expense and forecast data for budget preparation and management; may submit expense and/or revenue reports for accounting. 6. May have substantial customer contact; may attend meetings, take and transcribe minutes or other records of meetings. 7. Assists in interviewing and selecting new office-based employees; trains new employees in office procedures and routines. 8. Provides guidance on quality and quantity of work within established lines of authority. 9. May provide corrective instruction. 10. May participate in performance evaluations. 11. Performs other duties as assigned or required.

Minimum Qualifications

1. High school or GED from an accredited institution. 2. Four (4) years direct experience in clerical/administrative support work which involves similar tasks and processes. 3. Knowledge of word processing and spreadsheets. 4. Knowledge of payroll, purchasing, budget, accounting, and paying document processes.

Physical Ability: 1. Tasks involve the ability to exert light physical effort in sedentary to light work, but which may involve some lifting, carrying, pushing and/or pulling of objects and materials of light weight (5-10 pounds). 2. Tasks may involve extended periods of time at a keyboard or work station. 3. Requires visual perception and ability to communicate orally. 4. Job must be performed with or without accommodations. Work Environment: 1. The noise level in the work environment is moderately quiet. 2. Ability to work under generally safe and comfortable conditions where exposure to environmental factors such as repetitive keyboard use, irate individuals and intimidation may cause discomfort and poses limited risk of injury. 3. The employee is occasionally but not regularly subject to adverse environmental conditions including but not limited to, dust, chemicals, smoke, extreme temperatures, small spaces, heights, noise, hazards and atmospheric conditions. Travel: Work may require occasional travel for training and updates as required for job duties. Career Progression: Any higher class or level for which eligible and qualified.
