Client Service Representative

Central Baldwin Veterinary Hospital is seeking a compassionate, organized, and customer-focused Client Service Representative to join our growing team. As the first and last point of contact for our clients and patients, our CSRs play a vital role in creating a welcoming, positive experience for pets and their families. We're looking for someone who genuinely loves animals, enjoys helping people, and thrives in a fast-paced veterinary environment.

What You'll Do

• Greet clients and patients with a friendly, professional, and compassionate attitude.
• Provide an excellent and efficient client experience from check-in through check-out.
• Answer and manage a multi-line phone system, including responding to client questions, screening for service needs, and scheduling appointments.
• Process incoming and outgoing patients and accurately handle payments and transactions.
• Monitor and respond to client text message communications in a timely manner.
• Monitor incoming online pharmacy requests and route them according to hospital procedures.
• Handle incoming and outgoing mail, email communications, and other administrative tasks.
• Maintain accurate client and patient records within practice management software.
• Document and maintain client information, service data, and other pertinent information within hospital software systems.
• Monitor the client waiting area to ensure cleanliness, comfort, and organization.
• Assist in communicating hospital policies, services, and recommendations to clients.
• Escalate complex client concerns or operational issues to senior team members when appropriate.
• Support the veterinary team with additional administrative duties as needed.

Qualifications

• Minimum of one (1) year of customer service, receptionist, or related experience required.
• Veterinary reception or veterinary hospital experience preferred.
• Experience working with a multi-line phone system preferred.
• High school diploma or equivalent required.
