Position Summary
The Procurement Supervisor is responsible for overseeing the organization's procurement activities to ensure the timely, cost-effective, and compliant acquisition of raw materials, packaging, ingredients, and operating supplies necessary to support production. This role develops and maintains strong supplier relationships, manages purchasing processes, monitors inventory requirements in collaboration with warehouse and production teams, and ensures procurement activities align with food safety, quality, and financial objectives. The Procurement Supervisor also leads purchasing personnel and drives continuous improvement in sourcing, supplier performance, and procurement processes. Key Objectives
Right Quality:
Ensure all purchased materials meet company quality standards, specifications, and regulatory requirements through supplier qualification, documentation review, and coordination with Quality Assurance.
Right Quantity:
Procure appropriate material quantities to support production schedules while minimizing excess inventory and reducing carrying costs.
Right Place:
Coordinate with warehouse and receiving teams to ensure materials are delivered to the correct locations and properly documented upon receipt.
Right Time:
Ensure materials are purchased and delivered according to production requirements through effective planning, supplier management, and lead time monitoring.
Right Price:
Achieve competitive pricing and favorable contract terms through strategic sourcing, supplier negotiations, and cost analysis while maintaining quality and service expectations.
Supplier Performance:
Develop strategic supplier partnerships that improve service, quality, reliability, and overall procurement performance. Essential Duties & Responsibilities
Procurement & Strategic Sourcing

• Plan, prepare, review, and approve purchase orders for raw materials, packaging, ingredients, supplies, and other operational purchases.
• Develop sourcing strategies to ensure reliable supply and competitive pricing.
• Solicit quotations, negotiate pricing, contracts, payment terms, and service agreements.
• Evaluate supplier performance based on quality, delivery, responsiveness, and cost.
• Identify and qualify alternative suppliers to mitigate supply chain risk.
• Maintain accurate procurement records including contracts, pricing, lead times, and supplier documentation.

Supplier & Vendor Management

• Build and maintain productive supplier relationships.
• Conduct supplier performance reviews and corrective action follow-up when necessary.
• Resolve supplier issues involving shortages, quality concerns, delivery delays, or invoice discrepancies.
• Collaborate with Quality Assurance on supplier approvals, audits, and documentation requirements.

Inventory Planning & Material Management

• Work closely with Production Planning and Warehouse teams to forecast purchasing requirements.
• Monitor inventory levels and purchasing trends to ensure uninterrupted production.
• Review reorder points, safety stock levels, and inventory parameters.
• Coordinate with receiving to ensure timely processing of incoming materials.
• Support inventory accuracy through cycle counts, reconciliation, and inventory analysis.

Cost Control & Financial Management

• Perform cost analysis and identify savings opportunities.
• Monitor purchasing budgets and spending trends.
• Analyze market conditions affecting pricing and material availability.
• Support annual budgeting and forecasting for purchased materials.
• Ensure purchasing activities comply with company financial controls and approval processes.

Quality & Regulatory Compliance

• Ensure procurement activities comply with HACCP, GMP, FSSC 22000, FDA, and applicable regulatory standards.
• Maintain Certificates of Analysis (COAs), specifications, supplier certifications, and procurement documentation.
• Support internal and external audits related to purchasing and supplier management.
• Ensure purchased materials meet company specifications and food safety requirements.

Leadership & Supervision

• Supervise Purchasing Coordinators, Buyers, or Procurement Specialists.
• Recruit, train, coach, and develop procurement staff.
• Establish departmental goals and monitor performance metrics.
• Conduct performance evaluations and regular coaching sessions.
• Promote teamwork, accountability, and continuous improvement within the procurement function.

Communication & Collaboration

• Partner daily with Production, Planning, Warehouse, Quality Assurance, Accounting, and Operations.
• Communicate supplier updates, shortages, and risks proactively.
• Coordinate purchasing priorities to support operational objectives.
• Provide excellent internal customer service across all departments.

Continuous Improvement

• Identify opportunities to improve procurement efficiency and reduce costs.
• Develop and implement process improvements within purchasing operations.
• Monitor procurement KPIs and recommend corrective actions.
• Support ERP optimization and procurement system enhancements.
• Drive supplier development initiatives and strategic sourcing projects.

Qualifications
Education & Experience

• Associate's or Bachelor's degree in Supply Chain Management, Business Administration, Operations Management, or related field preferred.
• Minimum 3-5 years of procurement or purchasing experience.
• Minimum 2 years of supervisory or leadership experience preferred.
• Experience in food manufacturing or regulated manufacturing environment strongly preferred.

Technical & Regulatory Knowledge

• Strong knowledge of procurement principles, supplier management, and inventory planning.
• Knowledge of HACCP, GMP, FSSC 22000, FDA regulations, and food safety standards.
• ERP/MRP system experience (Microsoft Dynamics AX/D365 preferred).
• Advanced proficiency in Microsoft Excel and Microsoft Office Suite.

Physical Demands & Work Environment

• Primarily office environment with regular visits to warehouse and production areas.
• Occasional standing, walking, climbing stairs, and lifting up to 25 pounds.
• Exposure to warehouse and manufacturing environments, including moderate noise and forklift traffic.
• Must be able to perform the essential functions of the position with or without reasonable accommodation.
