Job Title: Property Associate (PM)

Job Description

We are seeking a temporary Property Administrator to provide critical operational support during a transition period. This role involves working alongside the sole on-site staff member to maintain property administration, tenant services, compliance tracking, and construction coordination. This is a contract-only position for three months, with the potential for conversion at the end of the contract. The work schedule is Monday through Friday, 8:30 AM to 5:00 PM, with onsite employee parking available. Interviews will be conducted virtually and then onsite.

Responsibilities

• Track and maintain Certificate of Insurance (COI) and insurance compliance across 24 tenants.
• Process and reconcile tenant allowance (TA) packages and disbursement timelines.
• Prepare rent commencement letters and default notices as needed.
• Coordinate water billing and tenant billing inquiries.
• Maintain lease documentation and vendor files.
• Support Accounts Receivable (A/R) and Accounts Payable (A/P) follow-up and processing.
• Assist with mid-year financial review and budget season preparation.
• Support CAM reconciliation processes.
• Process invoices and coordinate payment workflows.
• Coordinate construction activity across four active tenant build-outs.
• Liaise with contractors regarding paving, striping, and landscaping work.
• Ensure construction activities are safely coordinated with daily property operations.
• Maintain communication with vendors and service providers.
• Provide administrative support for upcoming marketing events and specialty leasing activities.
• Assist with tenant communications and property marketing materials as needed.
• Respond to tenant inquiries and requests in a timely, professional manner.
• Maintain organized files and documentation systems.
• Provide backup coverage for property operations.
• Support active legal matters with documentation and follow-up as directed.

Essential Skills

• 2 years of experience in property management, commercial real estate administration, or a related field.
• Strong organizational skills with the ability to manage multiple priorities in a fast-paced environment.
• Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
• Excellent written and verbal communication skills.
• High attention to detail, particularly with compliance tracking and financial processes.
• Ability to work independently with minimal supervision.

Additional Skills & Qualifications

• Experience with property management software systems.
• Familiarity with commercial lease administration and tenant coordination.
• Experience with CAM reconciliation, tenant billing, or A/R processes.
• Experience with Yardi, specifically Yardi Voyager, is preferred.

Work Environment

The role is based in a dynamic property management environment, requiring interaction with tenants, vendors, and contractors. The position involves a high level of activity, especially during ongoing site improvements and tenant build-outs. The work setting is supportive, offering opportunities to engage in various tasks ranging from financial processes to construction coordination. The dress code is professional, aligning with the corporate nature of the work.

This is a Contract position based out of Chapel Hill, NC.

Pay and Benefits

The pay range for this position is $25.00 - $25.00/hr.

Individual compensation offered for this position within this range will depend on many factors, including qualifications, skills, relevant experience, job knowledge, geographic location, internal equity, and other pertinent job-related factors.
