Project Manager I NE Job Summary: The Project Manager for the Southeast Asian Language Council (SEALC) is a 50% position at the University of Wisconsin-Madison. The Southeast Asian Language Council (SEALC), established in 2018, is a national organization dedicated to strengthening Southeast Asian (SEA) language education in the US. SEALC's mission is to enhance scholarly infrastructure, develop innovative teaching resources, and professionalize SEA language educators. The project manager has primary responsibility for day-to-day administration of SEALC programs and management of a four-year grant-funded project, "Toward Sustainable Southeast Asian Language Education: Collaboration, Access, and Capacity Building." This project aims to institutionalize SEALC's role by strengthening networks and partnerships through collaboration, facilitating and expanding access to Southeast Asian language instruction for students, and building capacity and community throughout the pipeline of instructors. The SEALC Project Manager is a fixed term, terminal position that will extend to August 31, 2029. The project manager is responsible for the daily operation of the SEALC office including:
Project Communication and Coordination a. Build collaborative relationships with all North American centers and programs with Southeast Asian language programs in coordination with the consortium for Graduate Education and Training in Southeast Asian Studies (GETSEA). Maintain regular communication and coordinate with the leadership of the Southeast Asian Summer Studies Institute (SEASSI). Support the joint SEALC-GETSEA committee by tracking Southeast Asian language offerings nationally and potential areas for course-sharing, exchanges, exploratory pilots, and targeted scholarships for language study. b. Collaborate and maintain close communication with the Council of Teachers of Southeast Asian Languages (COTSEAL) and the professional organization of each language group. Support these groups and SEALC efforts to help teachers increase enrollments. Maintain lists of language teachers as well as language group organizations and leadership. c. Communicate to students, prospective participants, the academic community, and the wider public about the value and importance of high-quality, widely available Southeast Asian language instruction and the role SEALC is playing in strengthening and supporting the teaching of these languages. d. Maintain good communication with project staff at UW, SEALC steering committee members and members of sub-committees and working groups, stakeholders, curriculum developers, workshop hosts, presenters, and participants. Planning and execute the grant events and initiatives including professional development workshops, project awards, tuition awards, while working with the grant Principal Investigator, SEALC staff, and SEALC committee members. Perform all administrative tasks associated with development workshops, including advertise the workshops, manage participant selection, create and distribute pre- and post-workshop surveys, arrange all aspects of travel for participants and trainers, communicate regularly with participants, and tabulate and summarize survey results. Work closely with the workshop organizer and staff at the host location for the workshop. Following each workshop, communicate with the SEALC Pedagogy coordinator, mentors, and participants to ensure the timely collection of deliverables. Coordinate communication between the financial specialist and project participants to facilitate processing of honoraria for workshops/projects and invoices for workshop expenses. Write a summary report of each workshop including survey results, attendance, and deliverables. Gather information for the Virtual Language Institute each spring and publish information on the SEALC website. Assist with application process for scholarships for asynchronous language study as overseen by the SEALC-GETSEA Scholarship Committee. Managing SEALC administrative tasks . Create the agenda for all SEALC meetings, attend, take minutes, and write up the minutes of all SEALC meetings (distribute agenda and minutes). Website Maintenance: Maintain a WordPress website for SEALC announcements, reports on current project activities, and deliverables. Create web pages for workshops and utilize them for sharing information with participants. Utilize social media to have wider impact for announcements. Create and send a newsletter to instructor mailing list with SEALC announcements, opportunities for SEA language instructors, etc. as needed. Assist SEALC PI in writing annual reports to stakeholders and Luce Foundation. Draft agenda, attend, take minutes, and write up minutes of annual stakeholder meeting. Other Duties as needed. - Sets priorities, allocates tasks, and collaborates with project staff to meet project targets and milestones
- Creates a project plan, monitors progress and performance against the project plan, and identifies, resolves, or escalates risks and issues
- Prepares regular reports to communicate the status of the project within and beyond the project team
- Facilitates the estimation of project costs, resources, and time required to complete the assigned phase of a project and monitors activities, negotiates for resources, and assigns tasks to ensure these targets are met. Follows established change control processes if targets can no longer be met
- Manages the activities of outside contractors to ensure they are integrated into the project and that the organization receives satisfactory standards of service
