Position Summary
Tattoo Manufacturing International is seeking a highly strategic, analytical, and execution-focused Chief of Staff to serve as a trusted partner to the Chief Executive Officer. This on-site leadership role in Scottsdale, Arizona, will help translate company strategy into measurable priorities, strengthen operating discipline, and drive execution across the organization.
The Chief of Staff will bring strong capabilities in business analytics, business operations, cross-functional project management, and executive-level communication. This person will work closely with the CEO and functional leaders to improve visibility into company performance, accelerate high-priority initiatives, build repeatable processes, and ensure accountability for critical business objectives.
This is a hands-on opportunity for a leader who thrives in a small-company environment, is comfortable moving between high-level strategy and day-to-day operational execution, and understands the realities of a manufacturing business. Experience supporting HR, workforce planning, organizational effectiveness, employee processes, and people-related initiatives is also important.
Artificial intelligence expertise is required. The ideal candidate will have demonstrated experience identifying, evaluating, implementing, and scaling practical AI tools and workflows that improve operational efficiency, data analysis, reporting, decision-making, documentation, communication, and productivity across the business.
Key Responsibilities
Executive Partnership and Strategic Execution
· Partner closely with the CEO to define, communicate, and execute company priorities, strategic initiatives, and operating plans.
· Serve as an extension of the CEO by coordinating follow-up, driving accountability, and ensuring critical decisions, commitments, and initiatives are completed on time.
· Prepare executive briefings, meeting materials, presentations, dashboards, and decision-support documents for leadership meetings, board discussions, and other key business updates.
· Facilitate leadership meetings; capture decisions and action items; monitor progress; and coordinate with functional leaders to remove barriers and maintain momentum.
· Identify emerging business risks, operational gaps, growth opportunities, and organizational challenges; provide practical recommendations and lead implementation when appropriate.
· Lead special projects involving growth, operational improvement, organizational effectiveness, cost management, customer experience, technology adoption, and workforce needs.
Business Analytics and Performance Management
· Develop and maintain company dashboards, scorecards, reports, and recurring operating reviews that provide leadership with clear visibility into business performance.
· Analyze operational, financial, manufacturing, workforce, sales, customer, and productivity data to identify trends, root causes, risks, and opportunities.
· Partner with functional leaders to establish meaningful KPIs, performance targets, reporting standards, and accountability measures.
· Translate complex data into concise, actionable insights and recommendations for the CEO and leadership team.
· Support annual operating plans, budgeting, forecasting, capacity planning, resource allocation, and strategic-growth initiatives.
· Monitor progress against company goals, departmental plans, budgets, and high-priority executive initiatives.
· Improve the accuracy, accessibility, and usefulness of company data for executive decision-making.
AI Strategy, Implementation, and Governance
· Lead the evaluation, selection, implementation, and optimization of AI-enabled tools that improve efficiency, scalability, analytical capability, and business performance.
· Identify practical opportunities to apply artificial intelligence across operations, manufacturing support, reporting, sales, customer service, HR, finance, documentation, internal communications, and knowledge management.
· Design and implement AI-supported workflows that reduce manual work, improve data quality, accelerate reporting, and strengthen decision-making.
· Partner with internal leaders and external vendors to assess AI platforms, integrations, automation opportunities, and technology investments.
· Establish practical standards for responsible AI use, data privacy, confidentiality, security, quality control, and employee adoption.
· Train, coach, and support leaders and employees in using approved AI tools effectively, safely, and consistently.
· Track AI-related business outcomes, including time savings, process improvements, adoption rates, cost reduction, quality improvements, and return on investment.
· Stay current on AI capabilities, business applications, automation tools, and emerging best practices relevant to a growing manufacturing organization.
Business Operations and Process Improvement
· Lead cross-functional operational initiatives that improve efficiency, accountability, communication, customer experience, and scalability.
· Evaluate workflows and business processes to identify gaps, bottlenecks, redundancies, and opportunities for automation, standardization, or continuous improvement.
· Establish practical operating rhythms, including leadership meetings, business reviews, project updates, annual planning cycles, and performance-reporting processes.
· Collaborate with leaders across manufacturing, finance, sales, customer service, supply chain, human resources, and other functions to improve coordination and execution.
· Support change-management efforts by helping employees understand, adopt, and sustain new processes, systems, tools, and business priorities.
· Maintain clear documentation for key processes, operating procedures, projects, policies, and decision-making frameworks.
· Assist in evaluating and improving business systems, reporting tools, technology platforms, and workflow processes that support company growth.
Manufacturing and Operational Support
· Partner with manufacturing and operations leaders to monitor production, quality, labor, safety, inventory, scheduling, and operational-performance metrics.
· Support initiatives related to productivity, capacity planning, workforce utilization, process discipline, quality improvement, cost control, and continuous improvement.
· Help connect CEO priorities with plant-floor and operational realities, ensuring strategic decisions can be executed effectively in a manufacturing environment.
· Prepare operational reviews and executive-level reporting related to production output, staffing needs, labor efficiency, quality trends, inventory, delivery performance, and business risks.
· Collaborate with manufacturing leadership to improve communication, accountability, data visibility, and alignment between operations and corporate functions.
· Support the responsible use of AI, automation, and data tools to improve manufacturing reporting, documentation, planning, process consistency, and operational decision-making.
· Demonstrate an appreciation for the pace, safety requirements, quality expectations, and workforce demands of a manufacturing organization.
Human Resources and Workforce Support
· Partner with HR leadership, internal stakeholders, and outside HR resources on workforce planning, organizational design, talent needs, employee communication, and people-related initiatives.
· Support the CEO and leadership team with organizational structure reviews, succession considerations, leadership development, staffing priorities, and employee-engagement efforts.
· Assist with the development and implementation of HR processes, policies, performance-management practices, employee communications, and people programs as needed.
· Ensure workforce data—including headcount, turnover, hiring activity, compensation trends, attendance, labor utilization, and staffing needs—is integrated into leadership planning and decision-making.
· Participate in sensitive employee, organizational, and leadership matters with discretion, sound judgment, confidentiality, and professionalism.
· Support recruiting, onboarding, retention, and employee-communications initiatives as business needs require.
· Coordinate with HR to ensure company initiatives align with organizational culture, employee experience, compliance obligations, and business objectives.
· Identify appropriate opportunities to use AI tools to improve HR reporting, recruiting workflows, onboarding documentation, employee communications, training materials, and administrative efficiency while maintaining privacy and compliance standards.
Required Qualifications
· Bachelor’s degree in Business Administration, Operations Management, Finance, Human Resources, Industrial Engineering, Data Analytics, Technology, or a related field; equivalent relevant experience may be considered.
· 7+ years of progressive experience in business operations, strategic planning, business analytics, project management, executive support, consulting, manufacturing operations, technology implementation, HR operations, or a related business leadership function.
· Prior experience in a Chief of Staff, Business Operations, Strategy and Operations, Operational Excellence, Program Management, Business Transformation, or similar cross-functional leadership role is strongly preferred.
· Demonstrated experience working closely with senior executives, business owners, presidents, CEOs, or executive leadership teams.
· Experience working in a small to mid-sized, entrepreneurial, privately held, family-owned, or high-growth organization.
· Experience supporting or working in a manufacturing, industrial, production, distribution, or product-based business environment.
· Demonstrated AI expertise, including evaluating AI tools, designing AI-enabled workflows, leading adoption, implementing automation, and measuring business impact.
· Strong understanding of AI applications for business operations, analytics, process improvement, reporting, automation, knowledge management, and employee productivity.
· Experience analyzing business data, building reports or dashboards, and translating insights into actions that improve operational and financial performance.
· Exposure to core HR functions, including workforce planning, recruiting, employee relations, performance management, organizational design, compensation, employee engagement, or HR compliance.
· Strong project-management skills, with the ability to manage multiple priorities, stakeholders, deadlines, and cross-functional initiatives.
· Advanced proficiency with Microsoft Excel, PowerPoint, and business-reporting tools; experience with ERP, HRIS, CRM, business-intelligence, dashboard, automation, or AI platforms is preferred.
· Strong written, verbal, presentation, and executive-communication skills.
· Ability to work on-site in Scottsdale, Arizona.
Preferred Qualifications
· Master’s degree in Business Administration, Operations Management, Finance, Human Resources, Data Analytics, Technology, or a related discipline.
· Experience supporting executive-level planning, board reporting, annual operating plans, budgeting, forecasting, or strategic-growth initiatives.
· Experience with ERP, manufacturing execution systems, inventory-management systems, CRM platforms, HRIS, business-intelligence tools, or workflow-automation platforms.
· Familiarity with manufacturing KPIs, including production output, labor efficiency, scrap, yield, quality, on-time delivery, inventory turns, downtime, capacity utilization, and safety metrics.
· Experience with Lean, Six Sigma, Kaizen, process mapping, continuous-improvement, or operational-excellence methodologies.
· Experience leading business-system implementations, AI deployments, digital-transformation projects, or data-governance initiatives.
· Working knowledge of employment practices, HR compliance, employee-relations principles, and workforce-management practices.
