Position Summary

The Warehouse & Logistics Coordinator is responsible for accurate receipt, storage, shipment, and documentation of medical equipment and related materials. This role works closely with internal teams, including the Warehouse Team, Sales Operations, and other stakeholders, to ensure timely and accurate inventory management, shipping, and receiving activities while maintaining a safe, organized, and compliant warehouse environment.

Key Responsibilities

Shipping & Receiving

• Collaborate with the Warehouse Team to unload incoming shipments and verify that all received items, including serial numbers, match shipping documentation.
• Notify the appropriate requester immediately if discrepancies, shortages, or damaged items are identified.
• Receive, inspect, and sign off on deliveries from suppliers, ensuring packaging integrity and shipment accuracy.
• Notify Sales Operations of all incoming shipments by providing detailed product information, including product codes and serial numbers.
• Investigate and notify the appropriate department of any unidentified or unexpected shipments, including all available shipment details.
• Coordinate the packing and shipping of outbound orders, including hot-shot shipments, ensuring timely delivery.
• Prepare equipment, crates, probe cases, and other materials for shipment using approved moving tickets and packaging procedures to prevent damage during transit.
• Provide shipment tracking numbers to requesters upon dispatch.

Warehouse Operations

• Process shipping requests by pulling materials, packing orders, and staging shipments for carrier pickup.
• Assist with receiving, inventory movement, and warehouse organization.
• Maintain accurate records of incoming and outgoing shipments and shipping documentation.
• Maintain accurate shipping information provided by vendors.
• Assist with inventory counts and periodic inventory audits.
• Report damaged materials and coordinate appropriate corrective actions.
• Communicate potential shipping delays, inventory concerns, or operational issues to management in a timely manner.

Safety & Compliance

• Maintain a clean, organized, and safe warehouse environment by keeping shelves, pallet areas, workstations, and shipping supply areas orderly.
• Break down cardboard boxes and dispose of trash according to company procedures.
• Follow all company policies, standard operating procedures, and quality standards.
• Attend and successfully complete all required training programs and certification requirements.
• Wear a dosimeter when working in areas or with equipment involving radiation-emitting devices, in accordance with company safety requirements.

Qualifications

• High school diploma or equivalent required.
• Previous warehouse, shipping/receiving, logistics, or inventory experience preferred.
• Experience handling medical devices or technical equipment is a plus.
• Strong attention to detail, particularly with product codes and serial number verification.
• Ability to safely lift and move heavy equipment, crates, and packages.
• Basic computer skills and experience with inventory or shipping systems.
• Strong organizational, communication, and problem-solving skills.
• Ability to work independently while collaborating effectively with cross-functional teams.

Physical Requirements

• Ability to frequently lift, carry, push, and pull materials and equipment in accordance with company safety guidelines.
• Ability to stand, walk, bend, and reach for extended periods during the workday.
• Ability to safely operate warehouse equipment and material handling devices, as required.
