Position Overview

The Phoenix Site Manager serves as the day-to-day face of the Phoenix BLT Kitchens location while also providing administrative support to the BLT Culinary sales department. This is a dual-role position.

For BLT Kitchens, the Site Manager is responsible for member experience, facility presentation, tours, sales follow-up, onboarding, and daily awareness of what is happening throughout the Phoenix location.

For BLT Culinary, the employee serves as a Sales Administrative Assistant and is responsible for inbound calls and emails, routing sales opportunities, Triple Seat administration, event orders, CRM maintenance, and general sales administrative support. The right person must be organized, personable, professional, and comfortable moving between customer-facing responsibilities and detailed administrative work throughout the day.

Member Experience

• Serve as the primary day-to-day point of contact for Phoenix members.
• Know the members and businesses operating in the building.
• Build strong professional relationships with members.
• Respond to routine questions and concerns.
• Identify potential member issues early.
• Escalate significant issues to the District Manager.
• Assist with member onboarding and move-ins.
• Communicate building notices and operational information.
• Help maintain strong member retention.

BLT Kitchens Sales

• Respond promptly to assigned membership leads.
• Conduct professional facility tours.
• Explain available kitchens, membership options, and facility features. Follow up consistently with prospects.
• Maintain accurate prospect notes and next steps.
• Support the District Manager in filling vacant Phoenix kitchen space. Identify opportunities for existing members to expand.

Facility Standards

• Walk the property regularly throughout the workday.
• Identify cleanliness, appearance, maintenance, organization, and safety issues. Report facility issues to the District Manager.
• Verify cleaning quality.
• Follow up on reported problems.
• Keep member-facing and prospect-facing areas professional and tour-ready.
• The Site Manager is responsible for identifying and reporting maintenance needs, not performing skilled maintenance work.

BLT Culinary Inbound Sales Administration

• Monitor inbound sales email.
• Answer inbound sales calls.
• Respond professionally to routine inquiries.
• Determine which salesperson or department should receive each opportunity. Route leads quickly and accurately.
• Ensure inbound sales opportunities do not sit unanswered or get lost. Maintain organized communication and follow-up.

Triple Seat & CRM Administration

• Work regularly inside Triple Seat and other BLT Culinary sales systems. Create event orders.
• Maintain and update existing event orders.
• Enter customer and event information accurately.
• Update contacts, notes, dates, and event details.
• Assist sales people with CRM and event-order administration. Identify missing information and obtain it when appropriate. Maintain clean, organized, and reliable CRM records.

General Sales Administration

• Provide administrative support to the Director of Sales Assist with proposals and customer documents.
• Perform data entry.
• Organize sales information.
• Assist with scheduling and coordination.
• Maintain digital records.
• Support customer follow-up.
• Answer and route calls.
• Manage routine sales email communication.
• Complete special sales and administrative projects as assigned.

• Phoenix members know and trust their Site Manager. The Phoenix facility consistently presents professionally. Facility issues are identified quickly.
• Tours receive prompt follow-up.
• Vacant kitchen space is actively supported.
• Inbound sales calls and emails are handled promptly.
• Sales opportunities reach the correct salesperson.
• Triple Seat event orders remain accurate and current.
• CRM information is organized and reliable.
• Routine administrative work does not become a bottleneck for the sales team.

Qualifications

• Strong administrative and organizational skills.
• Professional phone and email communication.
• Strong customer service skills.
• Comfortable speaking with business owners and prospective customers. Comfortable conducting sales tours.
• Strong attention to detail.
• Experience with CRM or event management software preferred.
• Tripleseat experience helpful but not required.
• Ability to learn new technology quickly.
• Dependable with strong follow-through.
• Able to manage multiple priorities.
• Experience in hospitality, sales administration, events, coworking, food service, property management, or a similar environment preferred.
