A well-established real estate, construction, and construction management company is looking for a detail-oriented and organized Bookkeeper / Accountant / Office Manager to join our team. This role is essential in maintaining financial records and ensuring smooth financial operations. ### About the Role
We are seeking a professional who is experienced in QuickBooks, AppFolio, Excel, and Word and is comfortable working with financial data and administrative tasks. The ideal candidate is highly organized, proactive, and eager to contribute to the success of our operations. ### Key Responsibilities
- Accurately record all day-to-day financial transactions.
- Process weekly payroll and manage related documentation.
- Oversee accounts receivable (AR) and accounts payable (AP) transactions.
- Perform daily remote deposits and ensure proper reconciliation.
- Reconcile monthly bank accounts and maintain accurate records.
- Manage supplier accounts, verify transactions, and ensure timely reconciliation.
- Create and manage invoicing processes.
- Maintain financial records by properly filing and organizing documents.
- Prepare monthly and year-end financial reports and assist with financial close.
- Uphold bookkeeping policies and procedures for consistency and compliance.
- Assist with construction project documentation and coordination as needed.
- Support internal and external audits by providing necessary financial documentation.
- Track and manage insurance certificates for audits.
- Oversee general ledger maintenance and ensure financial accuracy.
- Prepare and issue subcontractor 1099s and other required IRS documents.
- Monitor cash flow projections and provide financial insights.
- Facilitate AIA document processing for construction projects.
- Manage incoming and outgoing mail, sorting and distributing as necessary.
- Ensure compliance with company and industry financial regulations.
- Handle other duties as assigned to support the team. ### Qualifications
- Prior experience in accounting, finance, or a related field.
- Strong understanding of GAAP and financial best practices.
- Proficiency in QuickBooks and AppFolio (or willingness to learn).
- Experience with AIA documents is a plus.
- Excellent organizational skills with the ability to prioritize and multitask.
- Strong attention to detail and a commitment to accuracy.
- Ability to work independently and meet deadlines efficiently.
- Excellent communication and customer service skills.
- Experience in expense reporting, accounts payable (AP), and accounts receivable (AR) preferred. ### Preferred Requirements
- Associate's or Bachelor's degree in Accounting, Business, or a related field.
- Experience working within spreadsheets and databases.
- Ability to interact effectively with technical and financial professionals.
