Job Title: Customer Service Representative Reports To: EVP of Customer Service Position Type: Full-Time Position Summary The Customer Service Representative is responsible for processing customer orders, preparing price quotations, coordinating customer requirements, and providing timely support to customers and Sales Representatives. This position works closely with Sales, Manufacturing, Engineering, and Management to ensure order accuracy, determine product manufacturability, maintain competitive pricing, and support customer satisfaction and business growth. The ideal candidate has strong attention to detail, basic knowledge of printed circuit board (PCB) manufacturing processes, and the ability to prioritize multiple tasks while maintaining a high level of customer service. Work Arrangement This position may be performed onsite, in a hybrid arrangement, or remotely, depending on business needs, the selected candidate’s qualifications, and the candidate’s work location. The successful candidate must be able to effectively collaborate with internal departments and maintain reliable communication in the selected work arrangement. Essential Duties and Responsibilities Order Processing and Customer Service Complete and process customer orders, change orders, and sales forms accurately and efficiently. Provide customers with order confirmations, order status updates, and shipment tracking information. Respond to customer and Sales Representative inquiries promptly and professionally. Generate internal open-order reports for Sales Representatives and prepare customer-specific reports as needed. Perform purchase order (PO) verification audits and maintain accurate filing of supporting documentation. Maintain accurate customer records, order information, and related documentation. Prioritize and organize workloads to meet deadlines and customer commitments. Take initiative in following up on customer requests and identifying opportunities to secure additional business. Quotations and Pricing Prepare accurate and timely price quotations for new and repeat part numbers. Review requests for quotations (RFQs), customer specifications, and fabrication drawings to ensure quotation requirements are complete. Apply established pricing policies and perform basic pricing calculations accurately. Work with Manufacturing and Engineering to evaluate product manufacturability, process requirements, and potential production challenges. Identify and communicate required deviations from customer specifications and coordinate deviation requests as necessary. Work with Management to obtain approval for discounted pricing when appropriate, supporting Westak's efforts to increase order capture and market share. Follow up on outstanding quotations and customer requests as appropriate. Technical and Manufacturing Coordination Develop an understanding of PCB manufacturing capabilities, equipment, and special processes at each Westak facility. Read and interpret PCB fabrication drawings, prints, and related technical documentation to support order processing and quoting. Understand applicable requirements of MIL-PRF-31032 and MIL-PRF-55110 at the quotation and order-processing stages. Identify potential specification conflicts or requirements requiring clarification and coordinate with Manufacturing, Engineering, and Management. Assist with preparing and submitting deviation requests for quotation and order requirements. Obtain and document customer approval for applicable deviation requests before proceeding, in accordance with established company procedures. Communicate customer requirements and approved deviations to the appropriate internal departments. Reporting and Administrative Support Prepare internal and customer-facing order reports as requested. Maintain organized records of quotations, purchase orders, order changes, audits, customer approvals, and related correspondence. Ensure documentation is complete, accurate, and readily accessible. Perform other related duties as assigned. Qualifications Education and Experience High school diploma or equivalent required. Previous customer service, order processing, quoting, or administrative experience preferred. Experience in PCB manufacturing, electronics manufacturing, or a related industry is a plus. Experience with Microsoft Word and Excel required or preferred, depending on the candidate's background. Knowledge, Skills, and Abilities Ability to read and interpret PCB fabrication drawings and prints and accurately prepare complete RFQs. Basic understanding of PCB manufacturing processes and how they affect quotations and pricing. Ability to understand and apply basic pricing policies. Basic mathematical skills, including the ability to perform accurate pricing calculations. Strong written and verbal communication skills, with a professional and customer-focused approach. Strong attention to detail and commitment to error-free order processing. Ability to organize and prioritize multiple tasks to meet deadlines. Resourcefulness and sound problem-solving skills. Ability to work independently, demonstrate initiative, and collaborate effectively with internal departments. Willingness and ability to learn applicable military specifications, customer requirements, and facility-specific manufacturing capabilities. Positive, service-oriented attitude and the ability to communicate professionally in challenging situations. Performance Expectations Performance will be evaluated based on order and quotation accuracy, timeliness of customer responses, adherence to pricing policies, completeness of documentation, effective coordination with internal departments, and contributions to customer satisfaction and order capture.
