Job Description:

HOURS OF RESPONSIBILITY: Monday - Friday 8 am - 5 pm

GENERAL DESCRIPTION:

The Grant Manager oversees the full lifecycle of grants, including research, application development, budget management, compliance monitoring, reporting, and grant closeout. This position supervises grant staff and collaborates with program, finance, and executive leadership to ensure grant-funded initiatives meet organizational objectives and funding requirements.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

• Direct and oversee the full lifecycle of grants, including funding opportunity identification, proposal development, application submission, award acceptance, implementation, monitoring, reporting, and closeout.
• Research and evaluate federal, state, local, and private funding opportunities that align with organizational strategic priorities and program needs.
• Coordinate with program directors, finance staff, and executive leadership to develop competitive grant proposals, budgets, and supporting documentation.
• Establish and maintain grant management systems to ensure compliance with funding requirements, reporting deadlines, and performance measures.
• Monitor grant-funded activities to ensure adherence to approved work plans, budgets, objectives, and grantor expectations.
• Track grant deliverables, milestones, and outcomes and work with program staff to address performance concerns or corrective actions.
• Serve as the primary organizational contact for grantors, auditors, and funding agencies regarding award administration and compliance matters.
• Prepare comprehensive grant reports, including narrative progress reports, statistical outcomes, and financial reports required by funding sources.
• Collaborate with Finance and Accounting departments to develop, monitor, and reconcile grant budgets.
• Review expenditures to ensure costs are allowable, allocable, reasonable, and properly documented according to grant regulations and organizational policies.
• Monitor grant revenues and expenditures to identify budget variances and recommend corrective actions as needed.
• Ensure compliance with all applicable federal, state, local, and funding agency regulations, including reporting requirements and audit standards.
• Assist with grant-related audits (i.e. Single Audit) monitoring visits, site reviews, and compliance assessments.
• Maintain detailed grant records and documentation to support regulatory compliance and organizational accountability.
• Develop and implement internal controls and procedures to reduce financial and compliance risk.
• Partner with program leadership to establish measurable goals, objectives, and performance indicators for grant-funded initiatives.
• Monitor program outcomes and performance metrics to ensure achievement of grant goals and contractual obligations.
• Analyze program and financial data to identify trends, opportunities, and areas requiring improvement.
• Prepare executive summaries, dashboards, and presentations regarding grant performance and funding outcomes.
• Provide technical assistance and guidance to departments regarding grant administration, documentation requirements, and performance expectations.
• Supervise assigned grants personnel, including Grant Coordinators, Grant Accountants, Grant Specialists, or other support staff.
• Recruit, interview, orient, train, coach, and develop staff to ensure a high-performing grants management team.
• Assign work responsibilities, establish priorities, and monitor productivity to ensure timely completion of grant-related activities.
• Conduct performance evaluations, provide regular feedback, and implement professional development plans.
• Address employee performance issues in accordance with organizational policies and procedures.
• Foster a collaborative, customer-service-oriented environment that promotes accountability, continuous improvement, and effective cross-functional partnerships.
• Lead regular team meetings to review funding opportunities, compliance updates, reporting schedules, and departmental goals.
• Maintain 100% on-time submission of grant reports and required deliverables.
• Ensure compliance with all grantor regulations and audit requirements.
• Maximize grant revenue and funding retention through effective stewardship and relationship management.
• Maintain accurate financial and programmatic records supporting grant-funded activities.
• Support achievement of organizational goals through successful acquisition and management of grant funding.
• Performs other duties as assigned.

QUALIFICATIONS

EDUCATION AND EXPERIENCE:

Required:

• Bachelor's degree in accounting or finance or a related field
• Five years of professional experience in accounting with supervisory experience.

Preferred:

• Master's degree, MBA

MATHEMATICAL SKILLS:

• Basic math skills required.
• Ability to work with reports and numbers.
• Ability to calculate moderately complex figures and amounts to accurately report activities and budgets.

REASONING ABILITY:

• Ability to apply common sense understanding to carry out simple one or two-step instructions.
• Ability to deal with standardized situations with only occasional or no variables.

COMPUTER SKILLS:

• Use computer, printer, and software programs necessary to the position (i.e., Word, Excel, Outlook, and PowerPoint).
• Ability to utilize Internet for resources.

CERTIFICATIONS, LICENSES, REGISTRATIONS:

• Certified Public Accountant
• Current State of Texas Driver License or if you live in another state, must be currently licensed in that state. If licensed in another state, must obtain Texas Driver License within three (3) months of employment.
• Liability insurance required if employee will operate personal vehicle on Center property or for Center business. Must be insurable by Centers liability carrier if employee operates a Center vehicle or drives personal car on Center business. Must have an acceptable driving record.

While performing the duties of this job, the incumbent is regularly required to talk and hear, use hands and fingers to operate a computer and telephone. Due to the multi-site responsibilities of this position the incumbent must be able to carry equipment and supplies (up to 15 pounds). The position requires standing and/or walking in excess of 7 hours a day.
