Purchasing / Parts Clerk (Maintenance)

Seeking a Purchasing / Parts Clerk (Maintenance) to join a growing company in West Seneca, NY. Position Summary

We are seeking a detail-oriented Purchasing / Parts Clerk to support maintenance operations by managing spare parts inventory, coordinating maintenance-related purchasing activities, and ensuring materials are available to support equipment reliability and production uptime. This role serves as a key liaison between maintenance teams, suppliers, and internal stakeholders to drive inventory accuracy, efficient purchasing, and cost control.

Key Responsibilities Purchasing & Procurement

• Process purchase requests for maintenance parts, materials, and services.
• Source and identify replacement parts using specifications, manuals, and vendor resources.
• Obtain pricing, availability, and lead-time information from suppliers.
• Expedite urgent orders to support critical maintenance needs.
• Create, track, and follow up on purchase orders to ensure on-time delivery.

Inventory & Spare Parts Management

• Maintain accurate inventory levels for maintenance and production-critical spare parts.
• Perform regular cycle counts and reconcile inventory discrepancies.
• Organize, label, and maintain parts storage areas.
• Support stocking strategies for critical and frequently used components.
• Monitor inventory levels and make replenishment recommendations.

Vendor Management & Cost Control

• Coordinate with approved vendors and suppliers to ensure reliable service and product availability.
• Obtain competitive quotes when appropriate.
• Support purchasing best practices, including cost comparisons and vendor compliance.
• Track and help reduce emergency purchases, expedited shipments, and premium freight expenses.

Maintenance Support

• Serve as the primary point of contact for maintenance-related parts requests.
• Ensure parts availability for preventive maintenance, repairs, and planned shutdowns.
• Communicate order status, delivery schedules, and potential supply risks to the maintenance team.
• Collaborate with maintenance personnel to identify part requirements and sourcing solutions.

Systems & Documentation

• Maintain accurate parts, vendor, pricing, and inventory data within ERP and/or CMMS systems.
• Track purchase order status and delivery timelines.
• Maintain purchasing records and supporting documentation for audits and compliance.
• Generate reports related to inventory levels, stockouts, spending trends, and purchasing performance.

Qualifications Required

• Previous experience in purchasing, inventory control, storeroom operations, or parts management.
• Strong organizational skills with attention to detail.
• Ability to manage multiple priorities in a fast-paced manufacturing environment.
• Proficiency with Microsoft Office and inventory management systems.
• Strong communication and vendor relationship management skills.

Preferred

• Experience supporting industrial maintenance operations.
• Familiarity with CMMS, ERP, or inventory management software.
• Knowledge of industrial parts, mechanical components, and maintenance materials.
• Experience with cycle counting and inventory control processes.
