Position Summary

The Material Coordinator holds accountability for orchestrating the procurement flow, ensuring material availability, managing material movement, and maintaining accuracy of materials essential to fulfill production schedules and customer delivery obligations. This role collaborates extensively with the Purchasing, Planning, Production, Quality, Kitting, Sales and other internal departments to guarantee that materials are accessible at the requisite time and appropriately managed throughout all stages of the manufacturing operation. There will also be heavy interaction with customers resolving complex material issues such as (but not limited to): Long lead times, No Stock, Obsolescence, and Alternate Parts.

The Material Coordinator is responsible for overseeing inventory levels, identifying material deficiencies, managing work orders, tracking purchase order progress, data reporting and production planning adjustments. This role is instrumental in mitigating production interruptions, preserving inventory integrity, and facilitating timely order fulfillment.

Essential Duties and Responsibilities

• Coordinate the availability and movement of BOM components using Microsoft Excel & Outlook.
• Review production schedules, work orders, bills of materials (BOMs), and material requirements to identify current and upcoming material needs.
• Monitor material availability to support production schedules and customer delivery commitments.
• Identify shortages and communicate material constraints to Purchasing, Planning, Production, and the Customer.
• Follow up on critical material requirements and assist with expediting materials when necessary.
• Coordinate with Purchasing regarding open purchase orders, expected delivery dates, shortages, and supplier delays.
• Verify that required BOM components are on hand before work orders are released to Production. Assist with maintaining accurate inventory locations and quantities.
• Investigate inventory discrepancies and coordinate appropriate corrections. Participate in cycle counts and physical inventory activities.
• Assist with the identification and disposition of excess, obsolete, damaged, or nonconforming inventory.
• Ensure materials requiring special handling, traceability, shelf-life control, or storage conditions are properly identified and managed.
• Monitor work-in-process material and assist with resolving material-related production interruptions.
• Coordinate material movement between warehouse, production, inspection, and other operational areas. Maintain accurate material documentation, records, and transaction history.
• Assist with reviewing BOM accuracy and report discrepancies to Planning, Engineering, or appropriate management. Communicate material status and shortages during production or planning meetings.

• Assist with improving material flow and inventory-control processes. Verify part numbers, quantities, revisions, lot numbers, and other required material information.

• Follow established company procedures, quality requirements, safety practices, and inventory-control standards.
• Perform other related duties as assigned.

Education and Experience

• High school diploma or equivalent required.
• Associate degree in Business, Operations, Logistics, or a related field preferred.
• 2–4 years of experience in materials, inventory control, production planning, purchasing, or manufacturing preferred.
• Previous experience in a manufacturing environment strongly preferred.
• Intermediate / Advanced knowledge of excel (xlookups & nesting formulas)

• Ability to understand bills of materials, work orders, purchase orders, part numbers, and production schedules.
• Strong organizational and prioritization skills. Strong written and verbal communication skills.

• Ability to identify and communicate material shortages proactively.
• Ability to work effectively with multiple departments and competing priorities.
• Ability to perform basic inventory and material calculations.
• Proficiency with Microsoft Excel & Outlook.
• Ability to work independently while maintaining effective cross-functional communication.

Physical Requirements

The incumbent must demonstrate the capacity to execute the core responsibilities of the role, whether independently or with appropriate accommodations as needed. The position may necessitate prolonged periods of sitting, standing, walking, bending, reaching, and computer-based work. Additionally, the employee may be called upon to transport or elevate materials in accordance with established operational standards and organizational safety protocols.

Work Environment

This position operates in office, warehouse, and manufacturing environments. The employee may be exposed to production equipment, moving machinery, noise, and other conditions associated with manufacturing operations. Appropriate personal protective equipment must be worn when required.
