Job DescriptionJob DescriptionAs the Portfolio Manager, you are responsible for overseeing operations of your assigned residential portfolio, and will own facility and curb appeal management, customer experience, and functions impacting the financial performance of our investments such as rent collection and lease renewals. The key to this role is maintaining a tight routine and keeping organized, while effectively prioritizing and handling inevitable unforeseen situations that arise. This role requires a high degree of organization and time management, clear and professional communication, emotional composure, a bias to action and problem solving orientation, care for our communities and how they run, and a keen ability to translate overall business goals into everyday decisions and actions. The Portfolio Manager will learn the investment objectives and business plan of each individual asset in their portfolio. They will then operate the buildings accordingly by taking a “think like the owner” approach to decision making, care and extra effort, and customer service. There are a handful of attributes paramount to the success of the Portfolio Manager. These areas will be the focus of your development in this position.Design and adhere to a structured schedule - hyper organizedThink like the owner in every decision you make, big and smallGenuinely take pride in our buildings and care about our resident experienceBias to action, solution mindset - 100% follow through on to-do itemsAdhere to each building’s business plan and understand investment goalsCore Duties:Facility Management & Curb Appeal:Work with Vice President to manage and oversee capital projects Monitor and review every work order - determine those that require your involvement (whether vendor related, resident related, warranty items, speed to repair, etc). Manage and prioritize turns, serving as the conduit between leasing inventory and their needs, and Maintenance. Use sound judgement to keep proper inventory rent-ready while realistically prioritizing unit turns in the queue based on Maintenance labor bandwidth. Conduct move in and move out inspections and coordinate turn scope with Maintenance Schedule and lead bi-annual property smoke detector, filter, and water leak inspections for buildings over 5 units with Maintenance. Perform property walks on a routine basis, visiting properties over 10 units at least biweekly. Report out to Asset Manager and Maintenance on curb appeal and maintenance related issues with proposed solutions and recommendations. Own and directly manage laundry facility upkeep and pest control. Resident Experience:Manage and de-escalate tenant disputes and concerns - when a situation or relationship is heading in the wrong direction, step in and intervene. Manage and coordinate contract services in concert with Asset ManagerLeasing:Work with Vice President and Leasing Agent to manage vacancy - serve as backup leasing coverage when required (Operations Associate and Leasing Agent unavailable/double booked). You are 3rd line of coverage. Send and execute lease agreements and lease renewal agreements. Monitor lease signing and follow up early and often to ensure leases are not sitting unsigned. Work with Leasing Agent to collectively approve rental applications - if there is a disagreement on whether to approve or not approve an applicant, present the Asset Manager with the Applicant so they can make a final decision. Engage with residents up for renewal within 90 days, and foster retention via unit walks, negotiation, and relationship building. Administrative:Assist in property onboarding and offboarding efforts at the direction of Asset Manager and Office Administrator Monitor and enforce tenant renter’s insurance policies Serve as backup in monitoring work orders and residents maintenance requests Maintain and monitor ledger charges and accuracy of tenant ledgers and the rent roll via routine rent roll reviews. Negotiate and solicit payment plans when appropriate at the direction of Asset Manager. Follow up with non-paying tenants with frequent phone calls, texts, emails, and site visits with notes left in appfolio.
Manage delinquency and evictions, managing demands and notices, tracking the status of court cases and communicating with attorneys + appearing in court as necessary, and coordinating evictions. You will be challenged and will not be bored or stuck; there is unique and incredible upside for long-term, key players.Base Compensation: $60,000 - $80,000.00 base salary, full-time, paid in bimonthly installments.Vehicle Compensation & Requirement: You understand that you are responsible for utilizing your personal vehicle for work purposes, and are also responsible for maintaining a valid driver’s license and reliable means of transportation throughout your employment.Schedule Expectations: You are expected to work an average of 40 full-time hours per week with the understanding that this will fluctuate depending on demand for the given week, month, or season overall. You understand that, generally, your office hours are to be 8AM - 5PM M-F. Work from home is generally not permitted unless approved prior by your Supervisor on a case-by-case basis.Benefits:50% of employee’s health insurance premium to be paid by company if you enroll into the company health plan. Family/Dependant portions of premium do not apply to Employer contribution.Future benefits to be discussed, negotiated, and administered on a case-by-case basis depending on performance and tenure.
