About the Role:
As an integral member of the Division of Student Affairs, the Associate Director reports to the Director of Residence Life and Student Dining and provides leadership in the development and administration of a comprehensive, preeminent residence life program. This position advances a high-impact residential experience for approximately 600 students across five residence hall communities.
The Associate Director has primary responsibility for departmental operations, including housing occupancy management, facilities management, risk management, coordination of summer camps and conferences, and the implementation of short- and long-term departmental projects. The position also cultivates and maintains collaborative partnerships with key university departments, including Athletics, Facilities, Campus Safety and Security, the Dean of Students Office, Student Accounts, Student Engagement and Belonging, and Disability Services.
The Associate Director participates in a rotating on-call schedule and serves as a primary responder to student concerns and crises, reported incidents, alleged policy violations, and emergencies affecting the residential community.
This is a 12-month, full-time, benefited position. The Associate Director is required to reside on campus and will be provided a semi-furnished, non-taxable residence, including utilities, internet, cable, and a parking pass, as part of the compensation package and in direct support of the operational responsibilities of the position.

Minimum Qualifications:
- Master’s degree from an accredited institution in College Student Personnel, Higher Education Administration or related field.
- Minimum of two years of professional experience in university housing, residence life, conference services or related student affairs work.
- Working knowledge of FERPA, Clery, Title IX, ADA and Section 504, and related higher education laws.
- Demonstrated experience working with college students.
- Demonstrated experience supervising professional staff and leading teams.
- Demonstrated knowledge and commitment to advancing diverse, equitable, inclusive, and accessible communities.
- Leadership competencies and skills in problem-solving, responding to crises and emergencies of varying severity, and operational execution.
Preferred Qualifications:
- Experience working with on-campus living, residential populations.
- Experience with case management, housing management, or student information systems such as Personna, eRezLife, Star Rez, Ellucian Colleague, Advocate or Maxient.
Responsibilities:
Principle Duties and Responsibilities
- Education, Engagement & Student Success:
- Promote student learning, leadership development, and success through intentional programming and community-building efforts.
- Serve as a departmental Conduct Officer vested with authority to investigate and adjudicate allegations of non-academic misconduct consistent with procedures outlined in the Code of Conduct and as directed by the Assistant Dean of Students of Student Life and Operations.
- Facilitate various alternative dispute and conflict resolution processes (e.g., mediation) in lieu of formal adjudication.
- Collaborate with key academic affairs and student affairs partners to enhance student learning within residential communities.
- Ensure proper storage of education records, documentation and administrative case management in Maxient student conduct database in compliance with FERPA, student privacy protections, and university policy.
- Provide guidance and support to staff regarding student concerns, behavioral issues, and community dynamics.
Housing Operations and Administrative Management:
- Work with professional and student staff to create and maintain a living and learning environment that supports the mission of Westminster University and Residence Life.
- Provide leadership in ongoing evaluation of services and program operations related to residence hall management and the residential student experience.
- Responsible for preparing and maintaining operations timelines, such as reservations, assignments, communications, and move in and move out.
- Develops and coordinates the room transfer process, winter break and summer term assignments, and the annual housing selection process, and waiting list processes.
- Provide leadership and management for housing assignments including supervising room management workflow of Residence Life coordinators.
- Monitor and report room occupancies, and other housing related operations; ensure rosters and occupancy reports are updated and current reflecting room assignment changes. Provide monthly and annual occupancy reports to the Director and appropriate departments and campus partners.
- Coordinate yearly assignment configuration planning, maintain configuration rosters and floor plans to maximize occupancy, and report plans on maximizing occupancy to the Director.
- Manage and maximize residence hall facility management software.
- In conjunction with Student Accounts, manage room billing and housing related charges.
- Lead and coordinate move-in and move-out processes including residence hall openings and closings.
- Manage residential mail and package collection and distribution processes.
Facilities, Occupancy and Residential Services:
- Coordinate with Facilities to minimize the impact of emergency and planned maintenance and facilities work on residents.
- Collaborate closely with Facilities to report residence hall maintenance and custodial issues and monitor progress toward completion.
- Oversee coordinated security of residence halls in partnership with Campus Security.
- Coordinate with Campus Safety to schedule and facilitate fire drills and fire alarm inspections/testing within the residence halls
- Work in conjunction with Disability Student Services on resident student accommodations.
- Provide departmental leadership for identifying and assigning accessible living spaces.
- Coordinate and manage the distribution and tracking of all residential keys and equipment, including card access and key replacements to residence hall facilities.
- Coordinate with Facilities to establish the annual calendar of residence hall cleaning, maintenance, and inventory replacement.
- Collaborate closely with Facilities on residence hall furniture inventory, storage, and replacement.
- Market residence hall facilities with creativity and innovative methods.
Team Development and Supervision:
- Directly supervise office student staff responsible for customer service regarding housing assignments and facilities, receiving emergency and crisis assistance requests from residents before passing to professional staff, and working on administrative projects.
- Provides leadership and management of front desk services, including email and phone customer services; recurring check-in and checkout processes, including residence hall openings and closures, including but not limited to early arrivals, late stays, failed departures, etc.
- Assist professional staff with student employee hiring, training, scheduling, and accountability.
- Supervise and manage Community Leaders in the functional areas of residence hall facilities.
- Manage student employment administrative processes.
- Coordinate and/or deliver staff training related to technology, facilities, assignments, customer service, and overall housing operations.
- Develop Community Leader training and ongoing education specific to institutional policy, standard operating procedures, protocols, and emergency response procedures to ensure Community Leaders are appropriately confronting and documenting behavioral issues and concerns.
- Assist in the identification and delivery of departmental goal setting and performance evaluations for facilities and student staff.
Summer Conferences and External Housing Programs:
- Coordinate and manage residential summer conferences program, including staff selection and training, logistics, emergency response.
- Liaise with Campus Dining, Event Services, Campus Security, Facilities and other partners to coordinate all aspects of Summer Camps and Conferences.
- Manage residential summer camp inquiries, sales, invoicing, and budget management.
- Develop and maintain relationships and serve as a primary site contact for conference groups.
- Coordinate housing arrangements for guests requiring on-campus housing during their camp or conference.
Leadership, Assessment and University Service:
- Assist with departmental policy and procedure management; identify and develop needed departmental policies and procedures.
- Assist Department Director with annual strategic planning and assessment.
- Assist with department budget management, including processing purchases and tracking spending.
- Meet regularly with Department Director to review operations.
- Identify issues of area or departmental concern and take initiative to resolve or report them to director and assist in the identification of potential solutions.
- Promote and maintain an atmosphere of excellent internal and external customer service within Residence Life.
- Serve on divisional and other University committees/work groups as assigned.
- Attend professional workshops, conferences, campus events, etc.
- Perform other duties as assigned.
