Summary

Provide record keeping and financial data for material purchasing and staff time clock reporting. This position requires high levels of organization as tasks include (but are not limited to) scheduling meetings, maintaining billing, completing yearly reports and budgeting, PO's, time clock management, operating accounts for billing purposes, coordinates progressive billing, tracking and filing as necessary, and regularly assists in confidential document maintenance. Serves to support Director in special projects as directed.

Responsibilities

Uses a high degree of courtesy and tactfulness in all public and staff contracts.

Ensures that accurate messages are recorded for each telephone contact.

Complete and mails all correspondence the same day as issued. Completes paper work for payment requests including computing break down of charges.

Monitor the level of office supplies weekly reordering as necessary to prevent depletion.

Maintain a filing system that assures easy retrieval of material as needed.

Works with a minimum of supervision on routine assignments.

Complies and completes accurate period expenditure report and submits for signature within one week after the end of the period.

Demonstrates sufficient knowledge of general office procedures to permit temporary reassignment of responsibilities as necessary.

Send PM's for the previous month to the lab.

Keep up with cash vouchers and request checks/vouchers for employees as needed.

Maintain various department files and records as required. Diligently checks mail and emails each day.

Keep records of keys as needed.

Purchase orders for operational-department and expense code. Keep Excel spreadsheet for operational budget broken down into departments and then broken down into expense codes for departments. Put expense codes and department numbers for purchase orders.

Master facilities planning: Purchase orders for Capital. Requisition into Axiom for Capital expenses. Receives project bids and keeps confidential until project meetings. Prepares project packets as needed.

Keep Excel spreadsheet for Capital up to date. Keep yearly spreadsheet up to date for capital and operational. Check invoices received and invoices paid.

Aid with front desk duties as needed.

Keep up-to-date with all check requests and purchase orders for each utility company involved.

Keep up-to-date with all P-card transactions, including AnMed Cannon location.

TMS system usage- education, operation, and enactment of policy writing for proper maintenance as needed.

Administrative duties as necessary (i.e. change passwords, confidential document maintenance, budget accounting, PO's, and access to correct reports).

Keep an accurate and timely agenda for projects and schedule meetings with correct personnel accordingly (including Physical Environment Plan Review Meetings). Event planning and coordination for employee recognition during Engineering Week in October.

Ensure staff is up-to-date with vaccinations, continuing education requirements, and other assignments as necessary. Ensure information in system(s) are up-to-date for new hires, change of status, leave, work returns, and terminations.

Keep office supplies stocked and submit cleaning orders as necessary.

Qualifications

High School Diploma or GED equivalency, with instruction in typing and general office procedures. Two or more years' experience in office work experience. Knowledge of computer programs and systems preferred.
