Med Spa Patient Coordinator / Client Concierge

A thoughtfully managed day. Join our Parisian-inspired boutique practice as the first point of contact for clients. You will combine warm hospitality with consultative sales, organized scheduling, and reliable follow-through in a hands‑on front‑of‑house role. Work directly with an owner‑managed practice and its providers to shape the client experience. This position offers an hourly base plus separate retail commission, with a clear focus on client service and coordination. Practice management and clinical decisions remain with ownership and licensed providers. Your responsibilities Client experience: Welcome clients, manage calls and digital inquiries, record preferences, resolve routine concerns, and elevate sensitive or clinical questions. Bookings and follow‑up: Explain provider‑recommended treatment plans, packages, memberships, financing, and skincare; convert inquiries into bookings and purchases; follow up with leads, inactive clients, and unbooked recommendations. Scheduling: Coordinate providers, rooms, service durations, preparation, confirmations, waitlists, and rebooking to keep visits running smoothly. Payments and records: Handle check‑in, checkout, approved financing, payments, credits, receipts, daily sales reconciliation, and concise end‑of‑day updates to ownership. Daily operations: Count and restock inventory, check expiration dates and deliveries, coordinate authorized orders, open and close as a keyholder, and assist with nonclinical room turnover and linens. Required qualifications At least 3 years of recent, hands‑on concierge, front‑desk, or patient‑coordination experience in a med spa, cosmetic dermatology, plastic surgery, or comparable aesthetic practice. This must be directly relevant aesthetic‑practice experience. Strong service knowledge, consultative selling, and follow‑through are essential. Daytime weekday availability is required; the schedule may include Saturdays. Mangomint and patient‑financing experience are preferred. Compensation Hourly base: $28-$33, based on directly relevant experience and demonstrated ability. Retail commission: Paid separately on eligible products personally recommended and sold. Retail commissions are calculated separately on eligible collected product sales under the written compensation plan. No employer‑provided benefits are included.
