Monday–Friday | 8:30 AM – 4:30 PM
37.5 hours per week (30-minute unpaid lunch)
Pay: $54-55.00 per hour ( $105,000-107,000 year)
This is a critical leadership role responsible for overseeing all aspects of medical records operations, ensuring compliance with regulatory requirements, maintaining patient confidentiality, and supporting the hospital's electronic health records systems and quality initiatives.
The ideal candidate will be a knowledgeable health information management professional with strong leadership, organizational, regulatory compliance, and medical records management experience.
Position Summary
The Medical Records Director is responsible for the planning, supervision, administration, and daily operation of the Medical Records Department. This position oversees medical record assembly, analysis, coding, transcription, filing, correspondence, statistical reporting, record retention, and confidentiality practices while ensuring compliance with HIPAA, accreditation standards, and applicable regulations.
This position reports to the Quality Assurance Risk Management Coordinator and directly supervises Medical Records Assistants.
Key Responsibilities:
Department Leadership & Operations
- Direct and supervise Medical Records Department staff.
- Plan, organize, assign, review, and evaluate departmental work activities.
- Develop departmental goals, priorities, and performance improvement initiatives.
- Maintain and update departmental policies, procedures, and operational manuals.
- Monitor departmental compliance with applicable laws, regulations, standards, and best practices.
Medical Records Management
- Ensure proper maintenance, storage, completion, and confidentiality of patient records.
- Oversee record assembly, analysis, coding, filing, transcription, and correspondence functions.
- Manage inventory and organization of forms utilized within the medical record.
- Serve as a consultant regarding development and implementation of new medical record forms.
Regulatory Compliance & HIPAA
- Serve as the facility's HIPAA Privacy Officer.
- Monitor compliance with HIPAA, accreditation standards, and regulatory requirements.
- Investigate and report identified or suspected confidentiality breaches.
- Maintain current knowledge of healthcare regulations, standards, and operational requirements affecting medical records management.
Electronic Health Records (EHR)
- Serve as the secondary Trusted Agent for the hospital's Health Information Service Provider (HISP).
- Support secure messaging compliance and federal reporting requirements.
- Lead and support implementation, maintenance, and optimization of electronic medical record systems.
- Stay informed regarding advancements in health information technology and recommend operational improvements.
Reporting & Data Management
- Manage the hospital's statistical reporting processes.
- Generate daily census reports and monthly, quarterly, semi-annual, and annual reports.
- Analyze and report data with a high degree of accuracy and attention to detail.
Quality Improvement
- Participate in performance improvement activities, root cause analyses, and process improvement initiatives.
- Monitor records, documentation practices, and departmental performance metrics.
- Assist in maintaining compliance with accreditation and certification standards.
Staff Development
- Conduct departmental meetings and training sessions.
- Complete employee performance evaluations and progress reviews.
- Support staff development and ensure participation in required training programs.
Qualifications:
Essential Qualifications
Candidates must meet one of the following requirements:
- Registered Health Information Administrator ( RHIA ) credential through AHIMA; OR
- Registered Health Information Technician ( RHIT ) credential through AHIMA and two (2) years of experience as a Medical Records Technician; OR
- Registered Health Information Technician ( RHIT ) credential through AHIMA and four (4) years of experience in the preparation, classification, and abstracting of medical reports in a medical records department.
Required Credentials
- Active RHIA or RHIT credential maintained throughout the duration of the assignment.
- CPR Certification (or ability to obtain).
- Ability to obtain required crisis response/intervention certification.
Preferred Qualifications
- Supervisory or management experience within a medical records department.
- Experience in psychiatric, behavioral health, hospital, or inpatient healthcare settings.
- Strong knowledge of HIPAA regulations and healthcare compliance standards.
- Experience with Electronic Health Record (EHR) systems.
- Strong analytical, organizational, and communication skills.
- Experience developing policies, procedures, and performance improvement initiatives.
