Job Description
Reporting to the Executive Director of Operations, College of Arts & Sciences, this position provides integrated operational and event coordination support for the College's Dean's Office and the CASOPS team. The coordinator manages administrative operations across the College's 20+-building portfolio and serves as the primary event coordinator for Dean's Office events and major college-wide programs. This role requires a high degree of independent judgment and project ownership, with direct engagement with the Dean, Associate Deans, and senior college administrators. The position handles complex, multi-stakeholder projects from initiation through execution with minimal supervisory direction. Education and Experience

- Bachelor's degree required, or associate's degree with equivalent years of relevant experience.
- Three (3) or more years of experience in operations, administrative coordination, or event management required.
- Experience in higher education administration preferred.
- Experience supporting executive-level administrators preferred.
- Strong organizational and project management skills with demonstrated ability to manage multiple concurrent priorities independently.
- Excellent verbal and written communication skills, including the ability to draft professional correspondence and operational communications.
- Experience in event planning, logistics coordination, and on-site event management.
- Proficiency with ticketing systems (e.g., Orangetracker, FAMIS, or equivalent).
- Proficiency with Microsoft Office Suite and calendar management platforms.
- Strong interpersonal skills and professional presence when working with deans, senior administrators, faculty, and external stakeholders.
- Ability to exercise discretion and maintain confidentiality in a senior-level administrative environment.
- Knowledge of university procurement processes, purchase orders, and vendor coordination preferred.
- Serve as primary operational support for the College of Arts & Sciences Operations Team (CASOPS), which oversees 20+ buildings and 600,000 square feet of space.
- Responsibilities include assigning and managing service tickets received through CASOPS Orange Tracker; processing building access requests through CASOPS in-take; coordinating billed service and maintenance requests with Facilities Services; creating and entering purchase orders; and ordering supplies and materials to support building operations.
- Serve as lead coordinator for faculty-facing Dean's Office events within the College of Arts & Sciences event portfolio. Under the supervision of the Assistant Director of Events, independently manages 40-50 events annually including department chair meetings, all-faculty meetings, Dean's coffee and conversation sessions, associate dean workshops, and Academic Strategic Plan working group sessions.
- Responsibilities include end-to-end logistics management, venue coordination, scheduling, catering, materials preparation, run-of-show development, and on-site staffing, as well as direct communication with the Dean, Associate Deans, and senior college administrators throughout the planning and execution cycle.
- This faculty-facing event portfolio operates alongside broader college event programming (including Commencement, Welcome Weekend, the Undergraduate Research Festival, Dean's Advisory Board meetings, and alumni engagement events) managed by the Assistant Director of Events, with the coordinator serving as the dedicated lead for the internal, dean-level programmatic calendar.
- Serve as a secondary point of contact and operational back-up to the Dean's Office Executive Assistant, with a distinct focus on strategic and project-based work rather than day-to-day administrative operations.
- Responsibilities include leading special and strategic projects on behalf of the Dean and Associate Deans, preparing meeting agendas and key takeaway summaries, maintaining and updating the Dean's Office execution calendar, and organizing and updating institutional documents and materials.
- This role functions as a trusted extension of the Dean's Office, stepping in to provide continuity of support as needed while independently managing a portfolio of higher-complexity, initiative-driven assignments that require professional judgment, strong organizational skills, and familiarity with college-wide priorities and stakeholders.
- Draft and distribute building-related and operational communications to departments, administrators, and building occupants.
- Responsibilities include maintaining communication list serves, supporting routine notifications, and preparing correspondence related to infrastructure, facilities, and operations updates.
