Responsibilities The Medical Staff Coordinator provides highly knowledgeable and skilled administrative support to Medical Staff departments, committees, and physicians by acting as a liaison between medical staff members, high‑level administrative personnel, and ensuring that chairmen of various committees act upon all medical staff issues appropriately. The incumbent manages duties independently, maintaining a high quality of detail and timeliness. They must maintain the integrity of highly confidential information protected by state statutes, act with critical thinking, independent judgment, discretion, strong composition, and interpersonal communication skills. They may supervise medical staff volunteers and must conduct themselves professionally in written and verbal communication. Essential Functions Coordinate all activities of assigned Medical Staff departments/committees. Research and prepare information for various chairmen and follow through on Medical Staff issues and actions. Prepare agendas at least one week prior to the meeting. Accurately document minutes within 72 hours following the meeting and initiate meeting follow‑up within one week. Protect confidential information for peer review by authorized hospital and medical staff personnel. Assist with audio‑visual equipment for medical staff meetings, setting up equipment and troubleshooting when problems arise. Maintain knowledge of, and consult on credentialing, privileging, parliamentary procedure, disciplinary processes, and peer review processes per bylaws, rules, regulations, and accrediting agencies. Coordinate, administer, and maintain quality control on all aspects of physician and allied health credentialing and reappointment, ensuring timely completion. Coordinate with department chairs regarding applicant document verifications and follow up on committee actions for application files. Request additional information or clarification from external medical sources when necessary. Maintain a secure and updated computerized database of physician and allied health information for queries on demographic profiles, privileges, and category status. Generate appropriate forms and reports from the medical staff database. Monitor status of staff members in provisional and leave‑of‑absence categories and ensure timely review per bylaws. Ensure completeness and accuracy of the credentialing process. Coordinate initial credentialing, privileging, re‑credentialing, and re‑privileging in accordance with bylaws, rules, regulations, and policies. Process requests for and monitor temporary privileges, obtain approvals, and distribute notices of granted temporary privileges. Process variance reports promptly according to policy. Coordinate database entry and management of information with the Quality Department regarding physician responses and chairman disposition letters. Coordinate and manage Professional Performance Reviews and the Professional Review Committee investigation process, document findings, and provide information concerning recommendations to the Chief of Staff and relevant personnel. Notify practitioners involved as required by policy. Coordinate and complete special projects in a timely manner. Prioritize tasks to meet deadlines while maintaining quality. Keep staff apprised of critical or major situations. Draft and assist in writing and reviewing policies, procedures, and department rules and regulations, ensuring no conflicts with medical staff bylaws and hospital policies. Manage, coordinate, and maintain accurate on‑call schedules for Emergency Department coverage across all campuses per contractual obligations and department rules. Verify eligibility criteria for emergency department call schedules, including patient volume, case review, and meeting attendance per department rules. Coordinate interface between department chairmen to ensure compliance with COBRA/EMTALA regulations and fair assignment of physicians on call schedules. Education & Experience Associate degree or 2 years of work‑related experience required. Bachelor’s degree or professional coursework in medical staff, medical terminology, health care, documentation, or law preferred. Required: at least 1 year in a Medical Staff or Administrative Support position; preferred other Medical Staff or Administrative experience in a hospital or medical environment. Licenses & Certifications Certified Provider Credentialing Specialist (CPCS) – Certification preferred. Certified Professional Medical Services Management – Certification preferred.
