Payroll SpecialistThis fully remote, full-time role supports accurate and timely payroll administration for a large, multi-entity workforce. You will manage day-to-day payroll activities while ensuring employee, payroll, and tax data remains accurate and secure. The position combines payroll processing, compliance, reconciliation, reporting, auditing, and system administration. You will work closely with Human Resources, Finance, employees, and other stakeholders to resolve payroll questions and discrepancies. The role also provides an opportunity to identify process improvements, strengthen controls, and enhance the overall payroll experience. Success requires strong attention to detail, sound knowledge of payroll regulations, and a customer-focused approach. You will contribute to reliable payroll operations while supporting continuous improvement in a growing, fast-paced environment.AccountabilitiesProcess and support regular payroll activities, ensuring employees are paid accurately and on schedule.Calculate and validate payroll deductions, overtime, bonuses, paid time off, earnings, and other payroll adjustments.Enter, audit, balance, and troubleshoot payroll transactions and related employee data.Process garnishments, involuntary deductions, and other required payroll adjustments accurately and confidentially.Review employee payroll records to identify and correct missing, inconsistent, or inaccurate information.Ensure payroll practices comply with applicable federal, state, and local laws and regulations.Assist with payroll tax reporting and the preparation of quarterly and annual payroll tax filings.Research and resolve payroll tax questions, discrepancies, and reporting issues.Verify employee wage and tax setup information within HRIS and payroll systems.Audit payroll records and investigate discrepancies to maintain data integrity.Reconcile payroll tax and unemployment liabilities to the general ledger.Prepare payroll reports and ad hoc analyses for leadership and business partners.Support internal and external audits by providing payroll documentation and responding to information requests.Assist with workers' compensation reporting and related recordkeeping.Maintain payroll systems and employee payroll data.Identify opportunities to improve payroll processes, controls, accuracy, and operational efficiency.Partner with HR, Finance, and other stakeholders to resolve payroll issues and improve service delivery.Support payroll-related projects, system updates, testing, and process documentation initiatives.Maintain confidentiality and integrity when handling sensitive employee and payroll information.Requirements3+ years of experience in payroll administration or payroll operations.Demonstrated experience processing payroll in a multi-state environment.Working knowledge of federal, state, and local payroll tax regulations, wage and hour requirements, and compliance practices.Experience reconciling payroll data, identifying discrepancies, and implementing appropriate corrections.Proficiency with payroll systems, HRIS platforms, and Microsoft Excel.Experience supporting payroll audits and tax reporting activities is preferred.Exposure to workers' compensation reporting and compliance requirements is beneficial.Experience working in a fast-paced, multi-entity, or growing organization is preferred.Bachelor's degree in Accounting, Finance, Human Resources, Business Administration, or a related field, or an equivalent combination of education and experience.Strong attention to detail and a high level of accuracy when handling sensitive financial and employee information.Strong analytical and problem-solving skills with the ability to investigate discrepancies and determine appropriate solutions.Excellent organization and time-management skills, with the ability to manage recurring deadlines and competing priorities.Strong communication and collaboration skills, with a customer-service mindset when supporting employees and business partners.Demonstrated confidentiality, integrity, and discretion in handling payroll information.Continuous improvement mindset and interest in strengthening payroll processes, controls, and operational efficiency.BenefitsFully remote, full-time position within the United States.Comprehensive medical, dental, and vision insurance.Basic life insurance at no cost to employees.Company-paid short-term and long-term disability coverage.12 weeks of 100% paid parental leave.Health Savings Account (HSA).Flexible Spending Accounts (FSA).Retirement savings plan.Personal paid time off.Paid holidays and a company-wide Wellness Day.Paid time off for volunteering with nonprofit organizations.Group pet insurance.Commuter benefits.Employee Assistance Program (EAP).On-the-job training and skills development.Opportunity to contribute to payroll process improvements and operational excellence.Cross-functional collaboration with HR, Finance, and other business teams.Career development opportunities in a growing organization.
