Litigation Legal Assistant

Description About the PositionWarner Norcross + Judd is seeking aLitigation Legal Assistant to join our team in Grand Rapids. The Legal Assistant role provides comprehensive support to timekeeping roles within the Firm including Partners, Associates, and Paralegals primarily in civil litigation and some family law. This role involves performing a variety and administrative and clerical tasks to ensure the efficiency of legal processes as well as provide exceptional client service.​The role is full time based in our Grand Rapids, MI office. The hours are Monday through Friday 8 am - 5 pm. What You'll Do:Prepare, type, and format correspondence, memos, and other legal documents, ranging from simple to highly complex, ensuring accuracy and professionalismProofread all documents for spelling, grammar, consistency, and formattingTranscribe dictation as neededMaintain electronic client files systematically, ensuring proper filing of emails, documents, and converted hard-copy materialsOpen new matters and ensure accuracy of client information and compliance with firm proceduresCoordinate delivery of documents and projects through courier, hand delivery, or other required servicesManage telephone communications professionally, respond to client requests, and keep timekeepers informed of conversations and updatesManage attorney calendars, travel arrangements, expenses, meetings, and practice group logisticsReview and edit time entries in Intapp Time to ensure accuracy before weekly and monthly deadlinesProofread and process client billing memos and coordinate special billing arrangements when neededDelegate tasks to Practice Group Support Specialists, administrative departments, and vendors to enhance workflow efficiencyProvide coverage and backup support for other timekeepers when team members are absent and coordinate vacation schedules to maintain seamless support​The above list is not intended to be all inclusive but provides a general framework for the position. The physical demands of this position are representative of those that must be met by an employee in order to successfully perform the essential functions of the position.
